Workflow Approval Request Entries - Overdue

Posted on by 237

Hi

There is a field named "Overdue" in the records of "Approval Entries" page.

The value of this field is supposed to be either "Yes" or "No" but I never see the value even when the entry is overdue.

How could I update this field to reflect the overdue status?

Please advise.

Thank you.

It is "E-Mail" field in "Approval User Setup" page.

Hi, where to set the recipient's email address when there is a overdue approval entry?

Thank you, Steve, for the very detailed explanation!

I will copy the whole text into our company's "internal manual".

    Masa,

If in your Approval Workflow you have a Due Date Formula, you will see Overdue and also use the Send Overdue Approval notifications. Here is the Due Date Formula field in the Workflow:

At regular intervals, you may want to remind approval workflow users of overdue requests that they must react on. When you run the Send Overdue Approval Notifications function, the program checks for all open approval entries that are currently overdue. For each approver that has at least one overdue approval entry, the program sends an email with the list of all their overdue approval entries. The email will be Cc-ed to their approver and all the requesters of the overdue approvals. This helps if the overdue approval entry must be delegated to a substitute.

You need to setup the Overdue Approval Job to make this all happen. Here are the steps:

Create a new workflow from the template Overdue Approval Requests Workflow and enable it.

Go to Notification setup and add the Overdue entry.

To send the notification, you will need to run Send Overdue Approval Notifications report. This report will check if there is any overdue approval entry (based on the due date) and create a new entry in Overdue Approval Entries table. BC will pick up that entry and will send the notification automatically.

You have the option to run the report manually or you can use job queue entry to run the report on schedule.

Report number is 1509 : “Send Overdue Appr. Notif.”.
