CRM Online - Account & Opportunity relationships

Posted on by Microsoft Employee

In our CRM Online implementation, we have 3 fields in the Opportunity entity that have a relationship with the Account entity. One of them is the actual Account that the Opportunity is for. The other two are other companies that can be picked from the Account list.

When making a new Opportunity from within an opened Account, all three Account fields are automatically filled with the corresponding account. I would like, however, to have only one Account field filled automatically. The other two should remain empty.

Can anyone tell me how to achieve this?
Thanks in advance.

I solved the issue by defining a business rule, like Mark advised.

Thank you all for your quick advice, very helpful!

    Hi Bob,

What about creating a new entity that would have a 1-N relationship to the Opportunity. You could then have an Account relationship on this entity.  Overall you would be able to add N of these to the opportunity with multiple types, as example, and then add this as a sub-grid on to the Opportunity form.

    Thoughts?

    Thanks,

Thanks all! I'm having the same challenge that Drew describes when trying to delete the mapping for these specific fields: an error indicating that the mapping is used by the CRM Online Platform.

I looked into Connections (thans Drew), but I'm not sure that that is the way I want to configure the solution. The best way would still be to find a way to successfully delete the mappings.

    Any more thoughts?

    HI Inogic and Mark,

    I did the folllowing yesterday:

    1.   Setup two Account lookup fields on the Opportunity AccountTest1, AccountTest2

    2.   Verified that when you create a new Opportunity from the Account that it mapped the value of the Account into each of the three fields, which it did.

    3.  Went into the 1-N relationships on the Account and to the Mappable fields and tried to remove the mapped relationship to these fields and I received an error that this was not allowed

Overall I was not able to remove the mappable fields in this situation, which I thought would be the appropriate approach.

I did some more research and saw that others had this type of challenge and that the approach should be to utilize Connections, which makes sense and that is why I suggested as well.  Maybe I am missing something in what I performed but the straight-forward approach to remove the mapped field does not work from what I found.

    Thanks much,

Just delete the data mapping which you can find on its relationship in customization and it won't auto mapping anymore henceforth.

    Hi Bob,

In the situation you are trying to do I would suggest using Connections with a connection type for the multiple accounts you want to connect to the Opportunity vs. adding multiple account fields.  Connections will let you define multiple types to define the relationship.

    Hope this helps.

    Thanks,

    Hi Bob

This is standard behavour, You can do 1 of 2 things,

    1) Delete the data map on the relationship

    2) Have a Business Rule to clear the 2 fields if the data is the same as Actual Account
