I need help adding data to the "User Defined 2" tab in the Smartlist

Posted on by Microsoft Employee

In the , "User Defined 2" tab my company wants me to add the word, "Sales" to each customer that we have marked in the Address Code as, "PRIMARY".
I was just curious if anyone was aware of a way that I was able to make this task easier than just going through each one by one as it will take a lot longer time than just being able to add the word, "Sales" to all of the Address Code's marked, "PRIMARY". I am using Microsoft Dynamics GP 2010. THANK YOU TO ANYONE WHO CAN HELP.

    Jerome,

This should be an easy SQL update. You said they 'marked some of their address codes as "PRIMARY" 'what do you mean? Did they make any changes to the system, or is that what they want you to do. For example, did they just give you a list of customers that they want you to put 'sales' in the UD2 field of the address master? If they just gave you a list, you can use the Mail-Merge macro technique to make the changes. If they have done something such that you can filter the database to identify the customer address in question, then I think SQL would be the best tool. What situation are you faced with?

    Kind regards,

    Leslie

If you meant Customer>Customer Address Maintenance and 'User Defined 1'  you may be able to do that using SQL by updating the Customer Address Maint.,AdressMaint.png table to as " update user-defined = Sales where Address ID = Primary ( this is pseudo code not the actual script)

I'll go through the line of where I am/what I want to do. First I access the Smartlist through the Microsoft Dynamics GP tab, then when I am in the smartlist I click on folder titled, "Sales". Then under "Sales" I click on the folder titled, "Customer Addresses" and then I click on something titled "Ship To Addresses" and then from there I am able to access Customer names that begins with any letter that I put in the value tab. For example if I put in "a" it pulls up all of the customer addresses that begin with the letter "a". Our Accounting Team has gone through each company within our Smartlist and have marked some of their Address Codes as "PRIMARY" because those are the primary addresses of those companies. I have been assigned to go through each one of the Companies with the Address Codes marked, "PRIMARY" and put, "Sales" on the "User Defined 2" tab. And I am having to go through and do it one by one. I was just hoping there was an easier way to access each company that has an Address Code marked, "PRIMARY" and change all of their User Defined 2 tabs all at once.

    Hi,

I am confused as to what you want to do. Is it the User-Defined field on the Address Card that you want to fill, or is it the User-Defined field on the Customer Card itself? If it is the customer card, be aware that the Address ID can be changed and that change wouldn't impact the user-defined 2 field. Or, do you want to add the suffix 'SALES' to any address code named 'PRIMARY'?

    Kind regards,

    Leslie
