Analytical Accounting

Posted on by Microsoft Employee

Hi,

I'm looking to configure Analytical Accounting but I am struggling to get to the format I'm after. Effectively, I am looking to 3 Dimensions, the ability to pick each linked to the former. However, it appears AA limits a Dimension to only being owned once. To try and explain.

We have a central cost structure which supports 3 entities. I'd like the first Dimension to be to select the Entity the spend relates to. The Entity dimension contains Entity1, Entity2, Entity3 etc Dim codes etc. This bit is fine to set up.

However, if Entity1 has a subset of customers which is different to the subset of customers for Entity2. I would like the picking of Entity1 to drive the selection of customers valid for Entity1.  In the same vane, I would like the selection of Entity2 to drive the selection of valid Entity2 customers.

If anyone's been able to following, any help appreciated.

Thanks, Dan

    Hi

I have some idea about your requirement but wanted to tell you that integrating the expense to GP with analytical accounting is tricky.  How did you format your GL and all these going to single database company.  I would recommend to have to have 3 segment GL where 1st will be for company 2nd for nominal account and 3rd for department and make this as options in your expenses system.

Hi Bubu, thanks for taking the time to reply.

We have an online expense management solution called Web Expenses.  When an employee or contractor selects an expense, they can pick a number of options such as amount, attach receipt, date, etc etc. They also pick Category (i.e. Parking) which defines the nominal code in the background and Department (i.e. Marketing) which defines the Cost Centre segment in the background. This is all exportable as needed for integration in to GP.

They can also select Entity where they choose which Entity they undertook work for since we are 3 companies operating with a single staffing structure.  When they pick Entity 1, this opens up a secondary drop down option where they can pick from a list of Customers, these are unique customers for Entity 1.  If they picked Entity 2, they'd get a different set of customers in that drop down.

I want to create the necessary Analytical Accounting Dimensions that will support and validate against this.

Apologies, I know it's complicated. Kind regards.

    Hi Danial,

Where are you selecting the customers.  Please note that analytical accounting dimensions can be selected at GL distribution lelvel.  If you can give some scenario or example on what you trying to do then we will be able to help you.
