Hierarchy Settings for Data restriction

Posted on by 2

Hello Team,

I have specific customer requirement for data access configuration.

Client have Regions(All, West, South, North, central)  and more than 18 different business groups(Lets consider it as a BG1, BG2, BG3....BG20).

Now, each user can have multiple access of business group. They are using opportunity module and each opportunity will be consist of one business Group.

E.g. User A is working in North region and looking after only BG1, BG2 & BG5.

Another user B is working in West Region and looking after BG5, BG 6, BG9

User C is Looking country level and have only access of BG10

User D  is working in East region having access to view all opportunity (All BG)

In above case, User A, B, C and D can view opportunities according to combination of region and Business group

Please help me to understand how i can configure this level of data restriction in CRM

Thanks in Advance

    Hi Alex,

I have created access teams of each BG. On selection of particular BG, through plugin i have shared record to respective users in BG Teams.

    Thanks for your suggestion

    Hi Alex,

Yes, Every opp. is supposed to belong to only on BG. So any user can see opportunity if he/she has access to that business group which is belong to opp.

I am trying to configure according to your suggestion.

    Thank you

    Hi Rutul,

I am probably still not completely following. It seems that every opportunity is supposed to belong to only 1 group, is that right?

Maybe what you could do, then, is:

    - Put all users in the same BU

    - Give users full access to their own opportunities

    - Create a team per BG

    - Add users to those teams as needed

    - Share opportunities with their BG teams (may need a plugin here)

Not sure how it's going to work out for everything else (because users working with the opportunities will need some level of access to the related contacts/accounts, etc)

No.. But sales employees are assigned to work for more than one/single business groups(Actually it is product groups) that is too region(East, West, South, North) wise.

So there are two dimension of security

    Thanks

    Hi Rutul,

Are you saying that the same business groups exist in every business unit?

    Thanks Alex for response

I am still confuse about this configuration. Company structure is aligned with Region and business Group both. So one person can be work for A,B C, business group in Region 1 as well second user is working for only one Business group for all region.

Can you guide me in detail ?

    Thanks again

    Regards,

    Rutul

There is some missing info there - it's not clear which combinations of the BG-s/regions are possible, and, also, not clear what your users "belong" to.

Since you did mention that every opportunity will belong to one business group, it might work this way:

     - create a business unit per group and assign users to those business units

     - Add users to the default BU teams in the other business units as needed to give them access to the other business groups

     - You'll need to give those default teams in each BU a security role that permits access to the opportunities within the business unit

This way, if an opportunity is assigned to a user, it will "belong" to the users BU (which is a business group in your terms). Other users will get access to that opportunity through the team membership

    Hi

You need to consider using Business Units and Teams.

Single Business Unit for each BG or Set of BGs.

Users would be assigned to Business Units.

Teams can have users from multiple Business Units.
