Alerts for new activities

Hello,

We are currently using MS Dynamics Online and I'm having trouble setting up customised alerts.

Specifically we want to notify our sales staff when an Activity  (a Task) is created for a "Contact" that they own. This is to give our sales team members a "tap on the shoulder" notification when a task is assigned to them, in order for them to login to CRM and progress it in a timely fashion.

I've had a look around the system but I cant seem to find where and how we set them up. Can anybody help me out?

    Hi Jay,

    I'd be inclined to send an email to those users using a Workflow. So, on creation of a Task, an email is generated and sent to the CRM User.

    Alternatively, you could use Queues to manage workloads, but this would require logging into the CRM beforehand to see any updates.

    CRM doesn't really use the process of alerts.

    You can send emails to users.

    Usually users will check their tasks or will check certain views or queues to manage their workloads.  You could create a view of urgent tasks/import tasks and save this onto a dashboard which users should check

    The problem with alerts is, users can get lots of them and you don't want things popping up if you have a lot.

    If you would like to use an out of the box solution, you can setup a workflow that runs on creation of the task, checks the Regarding field to ensure it is a Contact, then sends an email notification to the Contact owner with a link to the Task and Contact if desired.  

    As Ben mentioned, you'll want to consider the number of Tasks created for each Sales Person to ensure you are not inundating them with too many email notifications.  

    Otherwise, dashboards or Views are a good method for use to help people focus on what needs to be done.
