I needed some clarity on how several mails which are being sent through Outlook are being tracked in the CRM.

you need to click on setting icon on top right of CRM and click apps for dynamics 365 and then download "Dynamics 365 for out look" and then set organisation ... after this you can set regards emails from outlook.
