I understand there is a step by step document that exist of steps to take on the partner source side with 11 or 12 steps necessary to archive my production data to historical data. What I am looking to do is archive some older history off to historical companies so that data will remain static and no longer have to be backed up on a daily basis. My production databases are therefore smaller for daily backups. In the process of this I want to do some other housecleaning beforehand but I would like these steps to fit my steps in. I understand there are scripts involved on some of these steps which we have the experience in house for running so I don't want to pay a partner. I just need the steps. I also need to look at them to determine if I see any issues with third party products that we have. Does anyone know of the document I am talking about and can you provide it?

The only true archiving method is to use the Company Data Archive(CDA) product from Professional Advantage. www.profad.com. Let's say your have 6 years of data and you only want to keep the last three years in your production company. With CDA youy archive(move) the three oldest years to an archive company and you basically do this once a year so the archive company database grows by one year each time. This way you backup the archive database once a year as it is static. I believe you can download the user's guide from their website. If not, just let me know and I will send you a copy.
I am also wondering if there is further documentation on archiving data in GP 10. I'm planning on archiving prior to upgrading to GP 2010.
Thanks!
Hi, there are a few things you can do within standard GP.
First you could create a new company and force restore a backup from your live company over it. Rather than trying to strip out historical data and insert this in a 'History' company, why not just take all the data.
Then in the live company, there are a few utilities you can use. Go to Dynamics GP >>Tools >> Utilities - select a Series and select 'Remove Transaction History'.
Best to then look at the oline help which explains what data gets removed by running these utilities, and what the effecs of removing this data is (eg - remove payables Transaction History and you can't run a historical aged trial balance)
There are other options, for example when you run an Inventory Year End, you can choose to remove Discontinued Items which also removes transactional and distibution history for these items. You can also tidy up the GL accounts in a similar way.
If this housekeeping achieves what you want then it is the best way to go without investing further.
Hope this helps.
jhuffman, may I ask that you post any further information regarding archiving data as my client will be interested in the process as well.
Thanks,
Louella
Thank you for taking the time to look. I am being told this by someone who is a former partner with numerous years involved with GP. I have however scoped out this product from Professional Advantage and it looks very nice. I will obtain more information on it as well so I will have it in my arsenal.
Not sure I am aware of such document -- will search for it. In the mean time you may want to look at Company Data Archive from Professional Advantage at http://www.profad.com/products/cda.htm
