Fixed Asset Depreciation

Posted on by 230

I am using GP 10 SP4.

I am having issues with the fixed asset module. After i depreciate my assets on a monthly basis and try to post it to GL, A JV gets created, but only for certain assets. For others, It shows "account not found". I have rechecked each posting accounts for my fixed assets and they are properly set with no field blank.

Could someone throw some insights into why its happening. Any feedback would be greatly appreciated by you. I can send you screenshots if required.

Best Regards,

Allan Fernandes

    Fixed Asset Depreciation

    Hi

In order to try and establish if any existing assets are missing an account you could use a Smartlist.  Go to the Fixed Assets default list and add in all the columns of type "Account Index".  That would at least show you if any assets have missing accounts.

Just to clarify, when you say that the Account Group ID does not save the information, are you meaning that the accounts window does not get populated?  If this is the case then I think you definitely have a problem.  If not, keep reading for the explanation of how the Account Group ID works (apologies if I am telling you something you already know).

The Account Group ID does not remain with the asset.  It is solely used to default the accounts into the "Account" screen for an asset.  Once the initial Account Group ID has been selected, changes to the accounts would be either manual (e.g. overwrite each line) or by selecting a new Account Group ID in the Account window.

If you are not seeing it work in the way described above, then I think you may have a bigger issue.

    Cheers

    Heather

    Re: Re: Fixed Asset Depreciation

The require account option is now checked. But this setting will reflect only for newly added fixed assets correct? how do i fix it for the old ones already in the list?

I have checked your second scenerio. No accounts have been deleted from GP.

The problem lies elsewhere, because for some reason when i assign a account group ID to an asset, it does not save this information. Neither does it give me any errors. The next time i visit the fixed asset details, the account group ID is blank. I can create assets fine, so its not a security related issue. I really dont know where to look to rectify this problem anymore.

Have you checked the accounts in account Groups windows or for individual assets? One possible case is Account Groups have all accounts but some individual assets have missing accounts. Make sure you have Require Accounts option checked on in Fixed Assets Company Setup window (Microsoft Dynamics GP menu >> Tools >> Setup >> Fixed Assets >> Company)

Another possible case (chances are very low for such case) is an account used during depreciation of assets is deleted from the system.  Please note it is allowed to delete account from GP, even when there are transactions using that account in fixed assets (which are not posted to GL)
