Notification email for assigned lead

Hi All,

I have 2 different forms for 2 different teams for leads and I have created a workflow to send email notification when the lead is assigned only for one of the teams only. The check condition is not working the way I was expecting so the workflow is passing the check condition and sending emails for both teams even if the Disqualified and Country Location fields are only present in one of the forms but not in the second one. Both fields are prepopulated when the lead is created in that form. Am I doing something wrong?

    If both the fields are prepopulated when the lead is created, if it is some server side code which is doing it; doesn't matter if the fields are there on the form or not, they will be populated so the condition is being checked - passed and the emails are being sent. So we need to identify fields which are specific to form and are populated manually not by some pre defined logic, I would say.

    Also, how are we defining which form would be shown to which team? we could use the same logic (based on any field value or something).

    So to make everything clear: I have form F1(doesn't have country location and qualified fields) and form F2 that has country location and qualified fields and these 2 fields are option set and are defaulting to something when the form is created(have a default value). So I'm just trying to send the notification email for team using form F2. I have established which form each team will have access to using security roles. Each team can only see its own form. So I'm trying to check if those 2 fields, only present on F2, contains data(which it will be true as the field has a default value) and if yes, to send the notification.  I don't understand how come people only having access to F1 still receive these notification as country location and disqualified are not in F1 form? Am I missing something?

    The condition you have checked is if these two fields have data. But since you said that these optionsets have default value; doesn't matter if these fields are there on the form or not, they will have values for each record. So even for F1 form, these two fields are filled automatically and hence F1 team receives the notification.

    Totally agreed with Shantnu.

    1. Different forms  only mean different sets/containers of specific attributes you choose to put on the form, all the forms retrieve fields values from same records in database.

    2. The value of two option set fields you want are already set default data from create process and the workflow will check from database then pass the check condition.

    3. I think you may trigger the workflow in assign event and check the condition on the owner team/user name of the lead entity to implement your requirement.

    Thank you guys, I was trying to check if the field is on the form so I thought if the field is not on the form, when is checking to see if contains data it will fail because the field is not on the form. I understand the logic now.
