Mail Merge Quote Missing Information

Hi, I am using a custom built mail merge that I created to create a quote.

Here is a screenshot of the table I am using with the mail merge items.

When I go through the steps and get to the end, I am missing a few of the important fields. Image below.

As you can see, I am missing description Subtotal, sales tax, and total which are pretty vital pieces of information. Can anyone help me with my missing information?

Thanks.

    Hi,

If you search in google or bing you will find a lot of blog articles, describing the possibilities to use the build in mail merge functionality.

The problem with your aproach is that you have a fixed table  and after the last <<next record>> all fields are empty.

I would recommend to change the template type to directory and then you only have a table with one row and the header part needs to be inside a if statement and the footer part to.

For the header you would need something like:

    { if {MERGESEQ } = "1" " HeaderText like the address}

For the footeryou would need something like:

    { if {MERGEFIELD "LastItem" } = "1" " FooterText like the subtotal or total"}

As you can see thats a quote complex thing to get a single dynamic table into that part.

If you are searching for a more easy way to build templates and you have no problems with using a 3rd PArty solution , take a look into our DocumentsCorePack for MS CRM.

    Hi Tyler,

Your Product is an existing product or write in product?

Because it will determine different field name.

    Thanks.

    Hi Aileen,

The ones I am using are an existing product. When I use a write-product it works.

What should I use for an existing?

    Thank-You!

    Tyler,

You want to show the Product Name right?

    See this:

    Change the «Quote_Product_Write_In_Product»

    To <<Quote_Product_Existing_Product>>

Or if you have both you can just put <<Quote_Product_Existing_Product>>«Quote_Product_Write_In_Product»

CRM stored them in two different fields.

For the Existing Product will use <<Quote_Product_Existing_Product>>

While for the Write in you are correct.

    Hope this helps!

    Thanks.

    Ramsay,

And for the rest, you should use this:

    Total Detail Amount: «Total_Detail_Amount»

    Total Tax: «Total_Tax»

    Total Amount: «Total_Amount»

Which I think you have used the correct one.

In the fourth line, can you also add:

«Next Record» just after the extended amount.

And make sure that you have the fields in the data field in your template setting

    Hope this helps.

    Thanks.

I now have all of the records displaying like they should be, however the total money and taxes isn't displaying. Is there something wrong with having a fixed table like this to make it not display anything after the <<Next Record>>

    Hi Ramsay,

So the Product okay now? Good, one problem solved.

For the next problem, about the total.

    It should be okay..

    You see my one..

Ramsay, a suggestion, you can try to download the OOB template (Quote for Customers template).

    Thanks.

I did happen to download that one, and examined it. However for our company's use we need to display the total dollar amount after the table. It seems that It's not letting me display the total amount, and I think the Next Record field may be the issue. I'm using the next record if, and saying if its not the last record, create the next one, but still having the same problem.

Thanks for all you are doing to help me! It is much appreciated!

Have you added the <<Next Record>> in the forth line?

But if you use that one:

    Total Detail Amount: «Total_Detail_Amount»

    Total Tax: «Total_Tax»

    Total Amount: «Total_Amount»

    It should be okay.
