Hi

My client is using Business Central 365 without using Office 365, so here requirement is to use Mail Send funtionality from Business Central 365 in case of Approval WorkFlow or custom Email. Is it possible we can use Custom Email feature in BC 365 if client is not using Office 365 with the same account by which they used to login in BC365.
example:
BC365 Login: abc@microsoft.com
Outlook Login: cdf@live.com

    Hope you are well today!
Yes, it is possible to use the email sending functionality in Business Central 365 even if the client is not using Office 365 (Microsoft 365) for email, but there are a few important considerations:

Options for Sending Emails in Business Central Without Office 365
    1. SMTP Email Setup (Recommended in this case)
Since the client is not using Office 365 for email, they can configure SMTP email in Business Central:
      • Go to “SMTP Mail Setup” in BC.
      • Enter the SMTP server details for the email provider (e.g., smtp.live.com for Outlook/Live accounts).
      • Use the Outlook login (e.g., cdf@live.com) as the sender account.
      • This allows BC to send emails using that account, regardless of the BC login.
    2. Email Scenarios Supported:
      • Approval workflows
      • Document sending (e.g., invoices, orders)
      • Custom email triggers via AL code or Power Automate
    3. Important Notes:
      • The email address used for SMTP does not need to match the BC login (e.g., abc@microsoft.com can log in, but emails can be sent from cdf@live.com).
      • Ensure the SMTP account has “less secure apps” enabled or app password configured if using MFA.
      • Test the setup using the “Send Test Email” function in the SMTP setup page.

    Limitations Without Office 365 Integration
    • You won’t be able to use “Current User” email sending or Exchange-based features.
    • No automatic tracking of sent emails in Outlook unless BCC is configured manually.

Note: I collaborated with Copilot to help craft this response for clarity and completeness.
    Hope this helps some!
