Creating a phone call (or some form of activity) using a process

Hi,

super new to Dynamics but a 25+ yr. MS dev here. (so forgive me for all of that!)

I am working through a Dynamics CRM Online customization and am at a point where i am creating workflows that will trigger when new contact records get created.  For this one i need to basically assign the record to someone and create an activity (essentially a phone call).

i have created a 'workflow' called "Assign Tradeshow lead for followup"

basically when the record is created if the source = "tradeshow" i am assigning the record to an owner - this is fine - no troubles there.

the next step i wanted to CREATE -> Phone CAll - thinking logically i need to remind my rep that they need to call this person within say 5 days.  However when i try to create the phone call it's expecting a few required fields that i really dont know how to complete.

it wants' CALL FROM and CALL TO filled in.  I really dont know what to put here because frankly the CALL FROM will be the owner of the record (which i can easily fill out) but the CAll to is essentially the contact's home phone number and i can't pick that field from the Format assistant.

So is creating a phone call even the right thing?  Essentially i just need a reminder for these people to know they have some tasks to complete (email, phone call, etc.)

what's the best option here?

Hi MCM, what your trying to achieve it totally doable and a regular requirement of crm.  you can use the workflows feature to create and New Phonecall activity and there will be a button to 'Set Properties' of your new activity record

Subject - you can define  text such as follow up call

Regarding - this should be set to the contact or account

Required - this should be set to the user

Start Time - you can generate the time based on the execution time and ammend

End Time - you can base this on the start time

You can set these fields by clicking into them, then clicking into the Dynamics fields section of the form assistant on the right to dynamics set the values of the fields.

If the Form Assistant pane is not displayed, click the Expand button Expand button.

Click the field where you want to insert a dynamic value.

Under Dynamic Values in the Form Assistant pane, from the Operator list, select a logical operator.

From the first list under Look for, select the entity or record that includes the fields you want to insert as dynamic values.

From the second list under Look for, select the specific field you want to insert, and then click Add.

If you want Microsoft Dynamics CRM to insert alternative values in cases when the field you specified in steps 4 through 6 is empty, repeat these steps to add additional fields, and then use the Move Up and Move Down buttons to arrange them in the order that you want Microsoft Dynamics CRM to evaluate them.

If you want Microsoft Dynamics CRM to insert static text when none of the fields you have specified contain any data, in the Default text box, type the text that you want Microsoft Dynamics CRM to display instead of a dynamic value.

    Click OK.

The dynamic values appear as yellow boxes in the fields where you inserted them.

In the form for the entity, record, or conditions used in your workflow or dialog, click Save and Close.

In the Process Logic area, click Save or Save and Close.

Take a look at the following link to help to help you; www.powerobjects.com/.../how-to-create-automatic-follow-up-activities-in-crm-2011

you can also use the new Automatic record creation feature instead www.microsoft.com/.../set-up-rules-to-automatically-create-or-update-records-in-crm.aspx

I hope this answers you question, Kindly Verify :)

    Best Wishes, Raz

Ah beautiful man! Worked like a charm.  Follow up for bonus points: How can i set the Start date to be something like the date this runs (i guess record created date) plus a day or so?

    So back in Set Properties,

    1. Click on your date/time field

    2.  The Form Assistant on the right side will now display time options

    3. The Operator should be 'Set to'

    4. you can set the amount of months / Hours / Mins

    5. In the dropdown below that, you can select  â€˜After’

    6. Then you select the Field and Entity such as createdon from which you want to use as to set the New date for

    6. Click on the Add button and it will set your new datetime  on your field dynamically

    7. Click OK

    Hope that helps :)

In the step where you create or update the record, click on the Start Date field and you will see the form assistant on the right changes. Working from top to bottom you should be able to select (for example) 1 day > After > Lead.ModifiedOn
