Import data with same lookup values

Hi All,

We are trying to import case records which has category and sub cat as two lookups

While we dont have any duplicate names for category we have duplicate names for Sub category, for example

- we have only one cat as "General" or "HR" or "PR" etc

- we have multiple subcat as "Others" one related to General, another "Others" related to HR category and so on.

Issue : While importing we get lookup reference error.  we would like the import process to pick up subcategory based on category instead of throwing errors. Could you please advise if there are options around it?

Steps we tried:

In Case map for lookup, we selected Subcategory Primary Key instead of name and replaced the csv with GUID - doesnt work

In case map for lookup, we selected category value instead of sub cat name and this too doesnt work

Please advise

    You can try the Configuration Migration tool by Microsoft (it is included in your SDK Folder): docs.microsoft.com/.../download-tools-nuget

    otherwise the Kingswaysoft Plugins for SSIS is great for import/export tasks: www.kingswaysoft.com/.../ssis-integration-toolkit-for-microsoft-dynamics-365

    Source is an excel file...  not sure if config mig tool would work in such scenario...

    is it not possible OOB way??

    It’s possible in OOB import. I have done it.

    When you are mapping the fields, map both the fields in “Referred fields list” this will consider both the fields while importing.

    Hi Mohan,

    For data Import please follow the below shown steps. Here I have just taken an example of how to map the value with a lookup field.

    1. Collect the data in an excel file.

    2. Login to CRM Organization.

    3. Goto Settings -> Data Management -> Imports

    4. Click on Import data at the very top. See the below Image

    5. A dialog box will open. Click on Choose file and select the excel file that has Data in it. Once file is uploaded Click on next.

    6. Select Default as a Data Map and press next. I will explain this a bit more in detail at the end.

    7. Now you have to map the Entity. What I mean by this is select a entity to which you would like to map the data with. Please select entity carefully as field mapping is based on it.

    8. Now you will have to map the fields from excel sheet to CRM Fields. The fields that has lookup will give you options based on that. Just for example I have posted two solution.

    In this first example I am mapping the lookup field named as Claim. When you click on two red circles from the picture you can have a list of fields to map it with.

    In this second example. I am mapping the Option set lookup field

    Map all fields that you want to import and finish the wizard.

    Please note this wizard will create new record. For update procedure is different and complicated.

    Mohan,

    Most of the time, our team used to face the issues on the Lookup field. During that scenario, just select any other “Referred fields”, later (after reload - no needs to go back or refresh) select again the lookup field which you wants to map. Than it should work. Which worked for us most of the time.

    Hi Mohan,

    I have lso faced the similar issue once. I ended up creating a unique field in my entity and have store the unique value in it i.e. General - Other, HR - Other etc. And then I used updated the excel to build this text (concatenate with the category to get the same value). After that while importing, I map this field to look for.

    This worked for me.
