Mapping a field from 1 record (Entity A) to some fields in all records (Entity B)

ReportReport
Posted on by

I have an entity “Report Update,”  whose sole purpose is to update a couple fields in all the records in the “Case” entity.  There is only one record in the “Report Update” entity.

There is only one record in the “Report Update” entity and  I have successfully created a business rule that links this one record in the “report update” entity to all “Case” records.

I have also created a 1:N relationship from “report Update” to “Case”

The problem is that even though there is a relationship and the “update Report” record is linked to all cases…I can’t get the fields to map from “report Update” to all the “case” Records

  1. I have tried a Workflow on the “Report Update” record to link to a Child Workflow to update the record but workflow stays in waiting mode because the trigger has to exist in the “Report Update” record and transfer down to the “Case” record. I get the error -> (A Record required by this process could not be found)
  2. Equations don’t help because they don’t seem don’t seem to exist across related entities
  3. Business rules don’t help because they don’t seem to exist across related entities
  4. I can’t do an Action…because I have no way to trigger it (I’m not a coder)
  5. Ive tried Mapping  the fields under a 1:N from one Time field  to Another Time field but nothing happens

My ultimate goals is to update this one record in the “Report Update” entity and have the timestamp transfer to a “Todays Date” field in all case records so that I can finally do some global KPIs

You can do this with  custom workflow activity or plugin.

Because in workflow there is not any functionality which will call workflow for another entity or in loop..

basically you need to update Report Update entity once then need to find cases attached to this records using 1:N relationship.. to find these multiple cases you can either create custom workflow activity  or plugin.

Custom workflow activity: Create workflow on Report Update entity - on Record Fields changes--> Then call custom workflow activity with passing current report update entity as a Input parameter.

In custom workflow activity, find related cases and update Timestamp from Report update entity to case entity.

Plugin: you need same logic as above, only you are registering plugin on Report update entity Update event.

    Hope this will help..

    Theo,

There is custom workflow activity example here you can use:

    crm2011distributewf.codeplex.com

It was for 2011, but according to the release info, it was launched for CRM 2015 but still in testing.

This will help you to update child records as well.

Yes, another way is still plugin, the concept here is you get the updated Parent Id, retrieve multiple all of the related child, and update it based on the updated parent record value you want.

    Hope this helps.

    Thank you.
