Email Server Side Sync not working

Hi,

I have two org in Crm 2015 online. One is a sandbox and other is production instance. I have setup a server side sync for one mailbox in both the instance. when I test and enable the mailbox emails are sent and received in the sandbox instance but not in the production instance. All the mail box settings are same also the status for test is Success and mailbox is enabled.

I am not able to figure out the issue please help.

    There are some possible application components in the copy instance that could have external connections and therefore could impact services with the same connections in your production instance.

    Email:
    A mailbox cannot be synced with two different instances.  For a full-copy instance, the user mailboxes and the copy instance must be disabled so the mailboxes do not attempt to send or receive email or track appointments, contacts, or tasks.  Set synchronization for incoming email, outgoing email, and appointments, contacts, tasks to none.  

    Microsoft Dynamics CRM user can only map to a single Exchange or POP3 mailbox. Similarly, an Exchange or POP3 mailbox can only be mapped to a single Microsoft Dynamics CRM user. When Microsoft Dynamics CRM detects that an Exchange or POP3 mailbox has already been mapped to a Microsoft Dynamics CRM user, a dialog box is displayed to present a choice to the user whether to map the Microsoft Dynamics CRM user to the Exchange mailbox. When the user selects yes, it breaks the previous Microsoft Dynamics CRM user to Exchange mailbox mapping and subsequently the synchronization that would occur between the Microsoft Dynamics CRM user and the Exchange mailbox.


    Consider disabling the following that could be running in the copy instance and impacting external service components.
    Server side plug-ins
    Workflow custom activity
    Client extensibility 
    Client side JavaScript
    Take a look at your JavaScript in HTML Web resources for read-write operations that could impact external services
    iframes determine if the target of an iframe is a production instance.

    The sync of exchange mailbox with two different CRM Org will create tracking and it is not recommended.

    Below are the unsupported scenario for server side sync.

    Unsupported email service configurations

    --------------------------------------------------------------------------------

    Server-side synchronization doesn’t support the following scenarios:

    • Hybrid deployments:

    ◦ CRM Online with Exchange (on-premises)

    ◦ Microsoft Dynamics CRM (on-premises) with Exchange Online

    • Mix of Exchange/SMTP and POP3/Exchange

    • Creation of mass email marketing campaigns

    • Extensibility scenarios like extending EWS/POP3/SMTP protocols and creating custom email providers

    • Exchange Server 2003 and Exchange Server 2007

    • Server-side synchronization in CRM Online, or in a Microsoft Dynamics CRM (on premises) deployment that is configured for FIPS 140-2 compliancy, requires a POP3/SMTP email server that is also FIPS 140-2 compliant. Some email servers are not FIPS 140-2 compliant, such as MSN, Outlook.com, or Windows Live Mail.

    Hi,

    I have disabled all active mailboxes in my sandbox instance.

    I also reconfigure the mailbox in Production instance and test was successful.

    All the plugins and workflows are deactivated.

    But still the incoming emails give the same error.

    Am i missing something ?

    Hello Bhushan Awhad,

    Please verify following elements:

    1.- In error message I see 2 incoming emails generated: “Test Email 3 and Test Message”, deactivate one and test only one.

    2.- Add to trusted sites inside IE https://*.dynamics.com and https://*.onmicrosoft.com domains

    3.- Turn on warning option inside Mailbox configuration to obtain more information in logs

    4.- Verify that you have enabled Server Side Sync instead of Email Router in mailbox configuration.

    5.- Enable approve mailbox for every user and queue in mailbox configuration.

    6.- Approve mailbox, save, test and enable mailbox:

    enable option of sync all elements with this organization

    7.- Test enabling in personal options “Allow to send emails on behalf of”

    8.- Try to test a queue instead of default mailbox and verify if this can be configured

    9.- If you want to have a better troubleshooting you could install and configure Email Router to configure this mailbox and verify if in Email router is configured successfully without error message indicating cause or define cause.

    If this steps don’t unlock SSS configuration I suggest you to open a case with CRM Support team so they could take traces and verify if there is a conflict with this mailbox in specific, determine cause and process to solution.

    Hi,

    I figured it out what was causing this issue. The Crm Activity Feed plugin registered on email delivery incoming message.

    This is the OOB plugin which was causing the issue never thought of that.

    Hi Bhushan, what is the name of the plugin you disabled? I have the same problem except that in my case even the mailbox shows no problem, it says success but it will not synchronize the incoming email for some strange reason. I would give a try with the plugins

    HI Hernandez,
    Please look in the default Customizations for all the Activity Feed Plugin Steps.
    In CRM 2015 there was a plugin step registered something like "Activity Feed : Delivery Incoming of Email".
    I don't see that step in the latest Dynamics Crm 365 Online. May be its removed now.
    If you see any Activity Feeds plugins on Email entity please disable them and test your server side sync.
