Only Global Dimensions Available for Filtering in Purchase Order Workflow

Hello,

 

I’m creating an approval workflow for Purchase Orders in Business Central, but I noticed that when adding workflow conditions, only Global Dimensions 1 and 2 are available as filter options.

 

I want to filter the workflow based on Shortcut Dimension 6, but this field does not appear in the available filter list.

 

Is there a way to expose Shortcut Dimension 6 (and other shortcut dimensions beyond the global ones) so that it can be used in workflow condition filters?

    Hello,

    The standard operation, only allows to show the fields enabled in the tables, in this case dimensions 1 and 2. Dimensions 3 to 8 are not part of the table as such, so they cannot be part of the filter.
     
    AL code could be developed to extend the fields or use power automate to determine the flow.

    Hello,

    In Business Central, only Global Dimensions 1 and 2 are directly available for use in workflow conditions because they are stored as actual fields on the tables (like Purchase Header). Shortcut Dimensions 3–8, including your Shortcut Dimension 6, are not stored as physical fields - they’re mapped dynamically for reporting and UI purposes. To use Shortcut Dimension 6 in workflow conditions, you would need to create a custom extension that exposes it as a field on the Purchase Header and then makes it available in the workflow filter options through event subscribers or a table extension.

    Hey @  ! You're absolutely right—Business Central only exposes Global Dimensions 1 and 2 by default in workflow condition filters. Shortcut Dimensions 3 through 8 aren’t directly available because they’re not stored as individual fields in the tables used by the workflow engine.

    To use Shortcut Dimension 6 in workflow conditions, you need to create a table extension that adds a custom field for it, link it to the correct dimension value, and update the workflow engine to recognize this field.

    Hi,

    You're absolutely right, BC only exposes Global Dimensions 1 and 2 in workflow condition filters by default. Shortcut Dimensions 3 through 8, including Shortcut Dimension 6, aren’t available because they’re not stored as physical fields on the tables used by the workflow engine.

    Here’s what you can do to work around this limitation:

    • Shortcut Dimensions are stored as part of a dimension set, not as individual fields. That’s why they don’t appear in the workflow filter dropdown.
    • To use Shortcut Dimension 6 in workflow conditions, you’ll need to create a custom extension. This involves:
      • Extending the Purchase Header table to expose Shortcut Dimension 6 as a field
      • Subscribing to the workflow condition logic to make the new field available for filtering
      • Optionally adding the field to the page if you want visibility during approval setup
    • Alternatively, you can use Power Automate to build a custom approval flow. In this case:
      • Use the BC connector to retrieve the Purchase Order
      • Read the dimension set entries and extract Shortcut Dimension 6
      • Apply conditional logic based on its value before triggering approval

    Currently, Business Central only supports Global Dimensions 1 and 2 in workflow condition filters. Shortcut Dimensions (like your Dimension 6) are not available out of the box for workflow filtering.
     
    To include them, you would need a customization using AL code to extend the workflow event conditions.
