Setting a Password Window in field level Security

Posted on by Microsoft Employee

There is a Password Window option that I want to use in Field level security, but wheneve I try i get a message that indicates "that only field-based security modes are allowed when a field is selected. My broblem is that I cannot figure out how to select a window but not a field.  When I am in the resource explorer the OK button only seems to appear for fields and not windows, and I can not clear out the field once it is selected.

    Hi Dedi

Thanks for writing up your example.

Note that you have used Field Level Security on the main window of a form, which you can deny easily with standard security (or using Deny Based Security in GP Power Tools).

The window security feature was created for situations where a user has access to a form like Customer Maintenance, but you want to deny access to a window on that form like Customer Maintenance Options.

    Hi Rosemary,

Just curious here, why is your company not using the Create Return feature found under the Additional menu? This feature will link the return with the original invoice. It will also insure that the correct cost is used for the return if inventory is involved.

    Kind regards,

    Leslie

Yes, via sales transaction entry, they would choose 'return' document id.

Have you thought about VBA? When they try to tab out of the field, you could require a password if it's a Return. How are you creating return documents? Are you just creating it by selecting the return document type or are you creating a return transaction using the 'Create Return' option from the 'Additional' menu?

    Kind regards,

    Leslie

Thanks for your feed back, the objective is basically to have a supervisor enter a password

    to initiate the return document.

My only other option is to restrict document access.

    Hi Rosemary

You can use the Password Before or Password After modes to apply a password, but it will be for any changes to Document Type.

To make it conditional you would need to use Rockton Software's Conditional Field Level Security which adds back the scripting functionality that originally existed when I created Field Level Security.

You can also create this sort of functionality as a non-logging trigger with GP Power Tools (formerly Support Debugging Tool).

    Good day,

Can I use this facility to implement a password on document type 'returns'?

    Hi mmiller

Click on the lookup to open the resource explorer. Click Backup to get to the windows instead the field and click the OK button on the window instead of double clicking.

    Hi NMiller,

The title of the tools says it all : "Field Level Security"... if you want to prevent someone from entering a window, use the GP user security..

If you don't want a user to enter into a form, then block it... A password is never as efficient as a security controlled access.. Passwords are prone to be disseminated, especially when they are fixed and not renewed on a regular basis.

    Now to answer your question:

Yes it is possible, but you have to make sure that only the Form Name & the Window Name are selected.. Only if that condition is fulfilled, you'll be able to set a 'Password Window'

It looks like also that you're going to get the pwd form prompted twice, possibly  depending on the fact if this is a sub-form or not.

You may want to select only the "Password Form" option in this case, thus you only need to provide the Form Name, not both.
