Business rule

Posted on by Microsoft Employee

I've created a business rule to auto update "age group" fields base on "age" fields. when checking individual records, it all working well, but when download the data, some contacts don't have the age group, although the age group is in the CRM when open the online CRM page.

The issue can be solve if i open the contact and save and close.

someone said because the businese rule was set under "contact" not "entity", i've now changed to "entity" and re-activated the business rule. but still same issue.

anyone knows why?

    Hi

In that case following are your options:

    1. While importing itself enter age group in the excel sheet, so that its already there.

    2. If you have already imported it, export all contacts (while exporting make sure you select 'make it available for re-import') follow the process below:

Go to advanced find>> look for contacts>>click edit columns>>add age and age group columns>>Click ok>>click results on advanced find>> once you see results>>click export>>all records in this view>>edit the excel with age group and re-import.

    3. Create a workflow on-demand>>based on age update age group

Note: Business Rule will only work for the contacts created in the system manually; if you import them, the form needs to be opened once for Business rule to work.

that worries, lot of the contacts have been imported may not have a change to open.  can that be solved? or just how it works?

Business Rule is like a javascript, it works only when your contact form is opened. When you download the data, are you sure that each contact record has been opened atleast once after age is filled and rule is created. if you have done that and still not working...let me know.
