Workflow 2.0 and Sharepoint

Is there an official Microsoft document that indicates Workflow 2.0 is NOT required for the built in workflows within GP? Possible that I missed a notation within the installation documentation? The install documentation still references setup and configuration of Sharepoint. A customer of mine is requesting this for their IT department. The organization is tight on their requirements and documentation.

    RE: Workflow 2.0 and Sharepoint

    Hello everybody,

This is such an interesting topic which possibly lacks rich references and documentation as mentioned by rnando42.

Workflow 2.0 was introduced with GP 2013 R2, one of the facts to keep in mind that it is not dependent at all on SharePoint, there are no prerequisites to activate this built-in workflow module which comes as part of the out of the box package of Dynamics GP. There is one case they it does requires web services when you are looking to activate what's called the e-mail actions features in it.

We have already had a long journey with Workflow 2.0 with several clients of us, and you need to keep one thing in mind which comes out of experience rather than official explicit note from Microsoft, do not consider running both workflow engines in the same environment, having SharePoint and Workflow 2.0 activated at the same time will result with unexpected issues. The best way is to prepare yourself to migrate to Workflow 2.0 and leave your old legacy SharePoint behind.

You will definitely encounter some issues, especially if you want to start with GP 2013 R2, since it was the initial release and enhancements were provided in further releases which are 2015 and 2015 R2. One of the critical issues which we encountered in 2013 R2, is the "OR" operator which is not functioning properly and the ability for the user to see the requisitions or POs requiring their approvals .... and several other issues. Therefore, my recommendation is to go directly to the most recent release which is 2015 R2.

As for the references and rick knowledge content, I would highly recommend a brief yet comprehensive book that has been published just recently by my friend Ian Grieve, I was glad to be part of the review process of this book and I would definitely recommend it for clients willing to deploy the new built-in workflow. The book details are provided on this link.

Furthermore, I have provided a series of blog posts on my blog to provide considerable insight on how to use the new workflow. The can be found on this link

Please never hesitate to share any further inquiries,

From experience if you configure any part of the SharePoint piece...Workflow 2.0 does not behave well at all...

I'm looking at the setup in 2015 R2 under Dynamics >> Tools >> Setup and WorkFlow for SharePoint is still listed, you don't have to do anything with it because there's a separate setup under Dynamics >> Tools >> Setup >> System that enables the built-in workflow.

So I guess you can still utilize SharePoint if you want but it's not required.

that is exactly where we are right now - I am in the process of updating the gp2013 environment to gp2015 as it was decided not to spend the time and effort to make 2013 work, when we know that in 2 months or less we are moving them to 2015.

    thanks for the confirmation.

actually I think in 2013 R2 you can do either, SharePoint or built-ins. 2013 R2 is the first iteration of having built-in Workflows. We had a dev environment with 2013 R2 and never got it tested with the end-users and decided to just bump straight to 2015 R2.

Tom, the workflows in 2013 R2 are not built in as they are in GP2015 - is that correct?

If I go to GP2015 (and I am asking) I do not need to install or consider SharePoint for workflow.

Yup and to piggyback on what Bill said, the built in Workflows didn't start till 2013 R2, 2013 is still rides on SharePoint.

If you are running on GP2015 as I understand all the workflows are internal and there is no configuration requirement for SharePoint.  However if you - like so many of us - are still installing and working  on GP2013 I again understand that you will need to follow the installation and configuration steps as defined and that includes SharePoint and all the fun that comes with that installation.

    Maybe that helps.
