Question on Views

Posted on by Microsoft Employee

Hi there!

Is there a way to show the last posted note on a view. I want to add a field to my view that will allow the user to see the last entered note from an Opportunity for a quick reference. This prevents the user from having to open each individual record to find out the last update.

Also, is there a way to show multiple relationship returns on a view. Again, this would be for an Opportunity. We have multiple Companies, Contacts and Competitors that we have established for each Opportunity. We would like to be able to see those in the view as well.

    RE: Question on Views

    Hi Soshea,

This is not possible with views. You can go with the solution as suggested by alex ,then used that custom field in view along with that apply the condition Modified on "Older than x Minutes".

    Thanks

    RE: Question on Views

    Hi,

For  notes, there is no out of box configuration to do this. The best option would be as suggested by Alex above (creating a field and then copy the value from the note to that field via workflow on create).

For displaying related info in a single view, it is not possible with view but you could create a report to display such information.

For the notes, you might create a text field on the opportunity and a workflow on the notes entity to copy note text to that field every time a new note is created. Then you might use that field in the views.

You can't do this in a view, but could create a report to display this information

    RE: Question on Views

    soshea,

I do not think that is possible. You would have to look at creating a custom workflow activity that would roll up the last note to the opportunity and store in a text field. Same for related data. For those you could have a text field on entity and store values with comma separator. Like Company1,Company2,Company3.

    Good luck!
