How do you prevent a clerical GP user from drilling into a payroll account via GL account inquiry?

The company isn't set up with the org tree structure 

I don't want this to be a major project - just prevent the user from seeing payroll info via the inquiry screen

(I've suggested posting payroll in summary and not detail but the history still remains)

    There are more steps involved when enabling ALS..

    1st step is to ensure it's activated : Administration >> Setup >> Company >> Company

    make sure the checkbox for 'Account Security' is enabled.

    2nd steps is to define the ALS levels : Administration >> Cards >> System >> Organizational Assignments

    3rd you have to assign the Accounts to it : this can be in the same screen as above or in the Account card : Financial >> Cards >> Financial >> Account

    Last step, the most important, is to assign those ALS levels to the users :

    Administration >> Setup >> System >> User >> Select a user >> Organization button

    Read carefully all the contextual help about Organizational Structures in GP :

    wow - help from a MVP!!!!   I've created the org structure, added all accounts but then excluded the payroll accounts.  I've given this access to the test user I'm working with.  But, when I log in as the test user and do a GL inquiry, I can still see all the accounts.  What am I missing?

    Deanne,

    Account Level Security (or ALS in short) works by account segments.. it's up to you to organize them in ranges that would include only the payroll accounts and then assign it to the authorized users.. Of course, once you've enabled ALS, you need also to create levels to allow the remaining users to see the rest of the GL accounts.

    That's the issue - how to set up this access to exclude certain accounts.  Seems like the account security level is good for granting accounts but when the company has mega accounts, I have to add each one individually and just exclude payroll accounts.

    Hi DeanneR

    Your suggestion to post in summary to the payroll accounts is the one I would use, but since there is already detailed history in your payroll accounts,  I would use Account Level Security.  (tools > setup > company > company > check box Account Security). Give access to only those users who need the payroll related accounts. 

    All other users will not have access to the payroll accounts and therefore will not be able to view the past history with the detail.
