Dynamics 365 Edit Document Location

I have existing site called "Clients" and in that site I have multiple document libraries, one for each client like "ABC Company". Is there a way to connect an existing Account (ABC Company) in Dynamics 365 to the document library "ABC Company" that exists in the "Clients" site. Would I need to create a document location for each client for this to work. Synopsis: SharePoint Site called "Clients" with Document Libraries named after the Accounts to store the documents for each Account in Dynamics 365.

You need to create a Document Location (sharepointdocumentlocation) record for each account. This links to the Dynamics 365 account (via the Regarding field) and the SharePoint Document Library (via either the AbsoluteUrl or RelativeUrl field).

If the SharePoint Document Library url can be derived from a field on the Dynamics 365 account (e.g. if it has the same name as the account), you could create a Dynamics 365 workflow to create the Document Location (sharepointdocumentlocation) records.

    Hi

Like David Suggested, you will have to Create document location in CRM and set the relative URL of the doc loc to be the folder path for that company under Clients doc lib in Sharepoint.

You need to first configure the entities to use these document libraries in Settings -> Document Management -> Document Management Settings

If Doc Libs already exist in SP, CRM will not delete, it will just associate the existing Doc Libs with entities in CRM

Once the above is done, you then have to query and get the Doc Loc for the account in CRM, update with new relative URL - the Account folder path in SP Clients Doc Lib

If there is no document location for an account in CRM, you will have to create one and set the relative URL to be SP account folder path under Clients Doc Lib

Now, the next issue is how many accounts we are talking about. if it's just under 50 you might be able to do this linking manually rather than writing a console app or linqpad script or even flow.

If you are talking about loads of accounts, manually linking is not the best option.  You might have to create a flow that gets all the accounts from CRM, gets the Doc Loc for that account or creates one with Account folder under Clients in SP Doc Lib. For this approach or script based approach, you have to a consistent naming of accounts folder in CRM and SP to do the matching.  If these Account folders were created by CRM before, you could do split on folder name and get the GUID and then you can use that to get the Account in CRM and then update or create the Doc Loc with correct folder path.

Let us know if you need any further infor or guidance on this.
