Microsoft Dynamics GP (Archived)

Company Data Archive

Posted on by 2

Hello Everyone,

We have finally gotten CDA off the ground,  and of course there are a some questions.

SOP has been archived, the cutoff date was 2006, GL post date was used, but documents from 2015 were included. The documents had no post date, this was just 86 documents. The only document type we don't use is 'Quote'.

What I don't understand is why these documents? I have checked and I can't find a common factor, the vendor has indicated it is because there was no post date. But we have backorders, and fulfillment orders also in 2015 and those were not archived, which has not been invoiced.

What am I not understanding?

Thanks

    Hi Everyone,

Can we install CDA on database Server while other users are using GP? Any idea if it can have any adverse effects on GP customization or any of the third party tools associated with GP

We moved from an IBM platform to GP, there were brought forward balances in AR, AP and GL, Profad indicated that the transactions that technically did not originate from GP may not archive.  In the AR we have documents that are saying not fully applied. That is the only thing that is providing a challenge right now.

With reference to your observation, I believe the user may have removed the quantity, not sure why.

Thanks for your questions and suggestions.

    Hi Rosemary,

    Thank you for the insights.

Unless I am missing something that is unique to your internal workflow something is wonky (technical term ;) ) with the transaction. One of the first things I noticed in the screenshot is that while each line item has a price the order subtotal and total are both zero.

How did the 2007 archiving go?

    Regards,

    Kirk

Thanks Kirk, Babu for your response, I agree as well logically it should not be archived.

With CDA you create a separate database with 'archived' data so information is accessible, which is great. I was able to reprint the archived documents as well as an inquiry, the documents are not voided.

The setup is simple, the archiving can be done during work hours as long as transactions don't pertain to current financial year.

Inserted you will see an archived document, none has a posting date. On the archive reports the post date comes up as 0/0/0000. The archive date used was GL post date of 2006, in the very start of using GP we had many operational as well as network issues.

I am not sure if there is a default date for 'unposted' documents.

We are trying another year 2007 and see what happens.

    Hi Rosemary,

I agree with Babu about the backorders and fulfillment orders.

Were the 83 transactions you mentioned voided before the process?

Also do you have any experiences besides this regarding CDA you care to share? I am hoping to implement this product in Q2 or Q3 and appreciate any insights.

    Regards,

    Kirk

    RE: Company Data Archive

    Hi Rosemary,

If I understand thic correctly you used the post date as cut of date, if that is the case the back order and fulfillment order wont be included since its not getting posted and doesnt have post date.  No financial is created for these documents so no post date, so if you wanted  to include these on the archive your cutoff date have to use document date instead of post date.
