How does Projects works

I’m working with the projects module where I’ve created a task line with an item quantity of 5. The line type is set to Billable and the Apply Usage Link toggle is turned off.

However, after posting the project journal, the % Completed is still showing 0%, even though the task has progressed. I need clarification on whether the system will automatically track progress, or if something additional is required to reflect completion.

 

Requirement Scenario:

I have a client who offers courses. One of his customers wants to enroll his five children in a course, and the payment will be made by their father.

I need to set this up in Dynamics 365 Business Central using the Projects module (Jobs) as follows:

In the Job Header, the father will be selected as the customer since he is making the payment.

Under Job Task Lines, I will create a task line.

  • In the Planning Lines for that task, I will:

    • Select the Item that represents the course

    • Keep the line type as "Billable".

    • Set the quantity to 5, representing the five children 

At the time of course completion, I will generate the invoice and receive the payment through the Job module.

Additional Scenario:

If, at the end of the course, I realize that the instructor's expense was not included, I want to add that to the same job. For this:

 

I will create a new Job Task Line to record the instructor's cost


  • However, I do not want to enter this reimbursed amount manually

  • Instead, I want this cost to be automatically fetched from the G/L entries, reflecting the actual expense incurred.


    Please Tell me the best solution according to my requirement

    Do you have budget and actual cost in your task lines?
    In simple terms, this is calculated based on the amounts in these two columns.

    Since you don't have a Budget Project Planning Line, there is nothing for the system to calculate a % Complete against.  The field is the total "Budget" Project Planning Lines compared to the Project Ledger Entries.
     
    When you post a line in the Project Journal with a line type of "Billable" it creates both a Project Ledger Entry and a Project Planning Line, but the Project Planning Line is marked as "Billable".  This gives you a line you can use to Create a Sales Invoice, as well as some actual Project Costs (if there was a cost on the Project Journal line).  However, if your Project doesn't have any "Budget" Project Planning Lines, the system cannot calculate a % Complete.
     
    In your test environment, enter a Project Planning Line for the Taks with a Line Type = Budget, and give it a Qty and Unit Cost.  Assuming your posting from the Project Journal had cost, you will have a % Complete calculated.
