Microsoft Data Export Tool - Cannot connect to QuickBooks. Make sure QuickBooks is running.

Hello, 

I've been trying unsuccessfully to get the Data Export tool to work, but have yet to had any luck. Whenever I select Authenticate and connect to QuickBooks data, this is the error I'm getting. Thoughts?

    This tool works with other versions of QB not just with ver 2017 and 2018. it works with them all. The new issue we are all having is that the tool is 32 bit and, in the past, we could lower the QB version. Now QB is only in 64 bit. I have a ticket in with MS to fix this. I also recommend they allow for the tool to bring in Customers, vendors, items without numbers as BC can auto populate it for us. I will keep you all up to date with the status of my ticket.

    The following exception may occur during synchronization:

    An exception occurred! Type:UTF Data Format Exception, Message: invalid byte … in XML data.

    This error is typically caused by a non-ASCII character in a QuickBooks record. Use the following procedure to resolve this problem:

    1. Log in to QuickBooks as Admin

    2. Switch to single-user mode on the File menu

    3. Open Preferences from the Edit menu

    4. Select Integrated Applications in the list on the left

    5. Click the Company Preferences tab

    6. Select Acctivate in the list and click Properties

    7. Check the Allow this application to access Social Security Numbers, customer credit card information, and other personal data option and click OK

    8. Click OK to close the Preferences window

    9. Switch back to Activate and Synchronize with QuickBooks again

    I had these same errors and this works for me.

    Hi Candace,

    Update 3/2/2021 - I was able to address this issue by navigating to the Inactive Accounts and found one inactive account without a number, export now working as intended! Thanks everyone for all of your help.

    I actually just got it to work after updating to 2021 QB in the last half hour but have now run into a new issue. "An account number cannot be empty". All of our COA have account numbers assigned. Searching for a solution now, any assistance would be greatly appreciated.

    This is not a true statement. I have successfully migrated 20019 and 2020 QB with the tool. your issues have to do with the data in the QB. read the details. it will tell you what is wrong and have your developer assist.

    I'm glad you found a solution. Neither of these were able to help me connecting. I was logged in with Admin account, and all of our Accounts already have numbers assigned.

    Hi,

    I found what the issue is regarding the error: Cannot connect to QuickBooks.
    As user opens QuickBooks Desktop, make sure to login using an admin account, if user does not login using an admin account, then error pops as on your printscreen.

    Second issue, if there is any chart of account does not have a number assigned, then error pops: An account cannot be empty.

    Solution to that issue is to assign a number to chart of account that does not have one assigned,

    Hello,

    Update 3/2/2021 - I was able to connect to Quickbooks 21 with no problems after rebuilding and updating company file, logging into single-user mode as Admin. 

    Unfortunately, I did not. It appears that the migration tool is only compatible with 2017 & 2018 version of QuickBooks. I'm currently in the process of bringing everything over using the excel templates. One thing to be aware of, if there is one error in any column of the row, it will omit the entire row. If there is an entire column that you have that is not formatted correctly no information will be imported.

    Happy New Year,

    I briefly worked with the QuickBooks Data Migration Extension export tool. I know it only works with Quickbooks 2017 and 2018 and not sure what version you are on. There is an Online Data Migration QuickBooks Extension so please make sure, based on your version, you load the correct one. This could  be the issue.
