Can we restrict system views from users?

We have certain users where we only want them to be able to see either records they own, or records that have been shared with them.  I created a security role for this, but they can still see data information within the system views although they can't open the record.

Is there a way to hide the system views from specified users somehow?

    We cannot restrict System Views.

If the users have Read privilege for the entity, then would be able to see those records.

If they are presented with all the records, then they are in another Security Role, or they are members of a Team, which has been assigned a Security Role with the Read Privilege for that entity.

Could you post a screenshot so we could see what's happening? As Gopalan explained, it's all controlled by the security roles - some of them may be inherited from the teams.

However, something does not add up there.. They should either be able to see those records in all views (including your custom views), or in neither of them. Unless you are asking about the lookup fields, in which case they will see lookups, but they won't be able to open those lookup records without "read" permissions (but, again, it's how it will be in all views.. unless, of course, the problem is that you have those lookup columns in the system views and not in the custom views.. in which case you might just remove such columns from the system views?)

Thanks for the responses Alex and Gopalan.  Let me try to explain this simplier so I don't confuse you.

I'll use Accounts as the example...  We want certain users to only have access and see information for Accounts they own or Accounts that are manually shared with them.

The security role I created gives them this basic access, they cannot open Account records that aren't owned by them.  However because our System views show a lot of the information they can still see things we don't want them to.

I am trying to see if there is any way we can restrict them from seeing System views... I believe Dashboards in 2015 and above have a feature where you can control them by Security Role but not sure that Views do...   Is there anything we can do to stop them from seeing the information in the system views?

    Hi ,

What is the access level and privileges provided to those users?

  • CRM Learner 88 Profile Picture

They have User Level Read permission to the entity.  That is why it's annoying that the other record information shows up in the system views.

Talking about hiding to specified users ,actually says to me that you will like to have users see this while others do not,If the users have read access to the entity then they will view all system views.

You can however create team views for all views you want accessed by a particular team, share this with only the team that must have access to view.

So it looks like downloading this app rom CodePlex is a solution... Does it work with CRM Online or must it be on prem?

Actually it says this tool is no longer on CodePlex and the link on there is dead...  Does anyone know where I could get this or another solution to this problem?

Is the information that you want to hide stored in additional fields in records to which the user has access - i.e. the views that you want these users to access do not show these fields, but other views to show these fields ?

If so, you should be able the use field-level security to prevent the users seeing these fields
