Purchase Order Notification via email

ReportReport
Posted on by 292
Hi, I was wanting to run a batch job report for a user and ran into an issue.  Maybe I am not thinking about this the right way!  An offsite user wants to be notified when a purchase order is created where he was the requisition owner.  As a side note, I didn't want to mess or modify any of the workflows to accomplish this.
The approach I took was to run the 'Open Purchase Orders Report' under Inquiries and reports.  Did not add any filters and thought this was a good starting point.
Ran the report and checked who the original requester was listed.
Then, I ran the open orders report and added a filter based on who the user was.  This was the only change.  Now there was no data even though I open up the PO and see their name clearly in the requester field.

Is there a better way of generating a report for one individual who just wants an automated report without having them go into the system every day?  It seems basic enough since a PO can be emailed to a vendor's email address automatically.

    Hi,

that is strange indeed, I tried your same report under "Procurement and sourcing--> Inquiries and reports --> Status" on a 10.0.46 version and also after applying these filters:
I obtain the result I was expecting:

Can you maybe double-check the Document status? Or Reset the filters and set them again?

As per the other alternatives, I can think about:
    - an alert set this way (this will only be delivered once, though):

    - A workspace (no alerts but a filtered view).

I am sure others wil have better ideas.

    Hope it helps

    Hello,

If you use the purchase requisition, the system will trigger a workflow to request approval after the original user submits the request.
One possible solution could be to trigger the email notification at that moment.

There are several way to identify the indicate owner. Here some alternatives:

    Thank you,
    Giorgio

Thank you Paolo for you reply.  I did try several times but let me look and see if I notice something different on the PO running it with/without the filter.  I have not looked at alerts so maybe I will try that next.

Giorgio, thank you for the reply but I do not want to touch the workflow quite yet.  It works fine as is and just didn't want to mess anything up or have notifications go out to everyone.  That definitely was a place I was looking at originally.
