Receivables Documents Not Showing on the Historical Aged Trial Balance

Hello:

A GP 2015 R2 end user is comparing the balance shown for one customer on the Receivables Detailed Historical Aged Trial Balance (HATB) with data that he exported for that customer from SmartList's Receivables Transactions report.

The HATB report option is excluding "Zero Balance", "No Activity", and "Unposted Applied Credit Documents".

He shows how all documents from the SmartList with a Document Status of "History" are not showing on the HATB.

Now, all of these historical documents have $0.00 for SmartList's "Current Trx Amount" column.  But, I don't think that that's what is preventing these Historical documents from appearing.

The end user is wondering why these documents do not appear on the HATB and, therefore, affect the customer's balance as shown on the HATB.

Can anyone think of a reason?

    Let's put it this way, Mariano.  Even if you made an educated guess, I'd be more comfortable with your guess than another person's fact!  You're that good!

    Glad that work out for you! I don't always get them on the first answer, but I get them eventually, LOL!

    Hi Mariano:

    That was it.  Five credit memos containing the amount of the historical balance did not have apply records, yet, were in history.  

    It's a matter of using the RM Transaction Unapply tool to bring these credit memos back into open and re-apply them.

    The next thing to do is to look at that document in the tables -- make sure the apply records are correct and in history, make sure there are no apply records in work/open for this document, and making sure the document status is correct in the key table.

    Run a reconcile first on that one customer and then re-run the HATB report. Perhaps, there's something wrong in the summary balance.

    The end user says that this is the only customer whose balance does not reflect the total amount of the historical documents.

    And, the cutoff date that we're using is 04/30/2018.

    But, could the end user be simply mistaken?

    Clearly not! The Historical Aged Trial Balance is a snapshot of what customers owed as of a certain date. I would NEVER expect it to match the SmartList showing only historical documents. Depending on your cut off date, some of those documents that are now in history may have had a balance as of the cut off date, therefore would have been open back then.

    I get the same result.

    But, I should mention that I discovered this morning that the documents appear on the HATB but the total amount of the historical documents does not affect the balance.

    The customer's balance, therefore, does not match the total of the historical documents of the SmartList.

    Excluding zero balance excludes customers who owe nothing to the business, therefore excluding their documents from the report too. I would go back and uncheck this option.
