Please I need your help.
Below is part of a e-mail I received from my controller, and I can't find an answer for her.
Last year we had an issue where a few checks within the 9/14/17 check run were cut and for some reason the payment was doubled on the invoices. The total amount of the double payments for all 3 vendors was $43,315.22
The issue still resides in my A/P Historical Aged Trial Balance report, where the double payment and invoice still appears (see below). In addition, we created credits for the double payment; however, by doing so this has reduced the general ledger accounts by making them all understated. I need to do a journal entry to correct; however, the offset would be a/c #2100 Accounts Payable. By doing the journal entry this will put my general ledger and the accounts payable sub-ledger out of balance, because I can’t get the invoices and double payment off. Can you look into and see how to remove the amounts from the accounts payable sub-ledger? They do not show up when doing a check run.
Thank you,
Glenn

I have the same question (0)In GP, the way an item is entered is how it needs to be corrected. Thus, you are correct the GL entry initially entered to correct this issue needs to be reversed. You can try the Utility 'Reconcile/Reconcile Purchasing Document', this will allow you to select the specific Vendor(s)/Documents for correction. Hopefully, GP will correct itself. If not, the correction should be entered in the sub-ledger ONLY, prior to posting the sub-ledger correcting entry, turn-off the POST TO and POST THROUGH GL in the 'Posting' setup window: Tools>>Setup>>Posing, select Purchasing as the Series, select the Origin, and remove the checks from Post to General Ledger and Post Through General Ledger files. If this is your elected method of correcting this issue. PLEASE DO NOT...for get to change the setup back once the item is corrected. I hope this helps.
