Purchase Order committments tied to a Sales Order in History

Posted on by 2,680

We have an old OPEN Purchase Order which has line items committed to line items of a Sales Order that was moved to History.

It appears it's been in our system for a couple of years - the PO is no longer valid and I would like to remove it but cannot until the committments are removed.

 Any advice?

Pam, this is the typical result I would expect from running the reconcile.  However, you should have received some information stating the changes that running reconcile made.  Oh well...glad it is fixed (however it happened).

    Ron and Leslie -

Thank you both for your responses.  Unbelievably, the Purchase Order suddenly was able to be removed from our system.  I'm not sure what happened but I can only guess it was operator error. (chagrined).

I had pulled up the PO and the SOP that had the attachements.  Started looking through it to answer Leslie's questions, and there was no more problems!

All the line items had been filled/closed/received except one which did not have the commitment with it (?) Have no idea where it went (no - i didn't go behind the scenes and remove it via sql either). :)

Regardless, I went into EDIT PO and closed that last line, and closed out the PO.

I appreciate both of you taking the time to respond to me.

    Have a great afternoon.

I'm with Ron. It looks like some weirdness happened. Before going in for file surgery, I would recommend also running the Reconcile-Remove SOP Documents utility and looking at a couple of other things that may explain how the SOP doc got into history.

When you look the SOP document up in the History table, does the PO commitment show? What information is given regarding fulfillment? On the PO if you click on the information button with the particular line item selected, how do your quantities look in the Purchasing Quantities Status window? If you do the same thing on the SOP doc in history how do the quantities look in the Sales Quantity Status Inquiry Zoom window?

    Just curious.

    Kind regards,

    Leslie

Maybe someone else here will have a suggestion, but that would be my next step.

I don't believe we do.  (cost money).  I'll give it a few more days before I try something drastic.

    Thanks Ron.

Do you have active support cases with Microsoft?  I would open a case with them.

No, I hadn't tried that so I just went and did.  It didn't do anything.

I'm wondering if I should just go into the SOP-POP linking table and remove the commitment.....?

    any advice?

Have you tried reconciling the PO (Tools-Utilities->Purchasing->Reconcile Purchasing Documents)?

     Hi Leslie!

I go to the PO, go to SALES COMM for PO screen, highlight the line, click "Delete Sales Doc" and a popup says:  "You can't remove the purchase order commitment from the item.  The item is attached to a sales document that has been moved to history".

I've searched the knowledgedb to see if there were any known issues, no results.

    Any thoughts?

    Pam
