Old drop down options

Hello there.

I am trying to clean up my crm and have deleted irrelevant drop down options using Customize/ Form going to the field properties/ details and edit and saving and closing.

My question is when I return to the account page, there are still those old drop down options even though they have been deleted.

Likewise, they are still there when I have a list of accounts and use a filter.

Can anyone help in deleting these old values for good?

    Make sure you have published your changes after you have saved them.

    Saving changes the values in the options sets

    pulishing the changes, makes the changes available to the users.

    This is for when you need to make a number of changes before releasing these changes to the end users.

    Hi SpiritTels,

    If you have deleted the values from the Form drop down list and Published your Customizations you will be able to see the changes.

    Please check if you have published your changes.

    Hi Ben

    Many thanks for your help, I am getting a message stating that I need admin rights. We don't have anyone supporting our CRM so is there any way of obtaining the rights and making the changes. I did not publish them so I guess that is the reason why they have not been actioned.

    Is there a way around not publishing them but actioning the changes?

    Hi SpiritTels,

    Please check for the Security Role who has below access in Customization tab. That person will be able to Publish the changes

    The trouble is I don't know who is the administrator or how to get admin rights. This is an inherited system, so basically if I go in and change the customizations, I get a pop up saying I do not have sufficient permissions to do so!

    Is there any way of obtaining admin rights?

    Hi SpiritTels,

    To avoid any irrelevant drop down in the future, you can either using Global Option Set or you can use Import Template to make sure that the users will import data with very specific defined Options, cannot create new ones. Most of the times, the irrelevant drop down coming to CRM was because of the users import to CRM using Import Feature and users without template, can key in anything, for example: some people will say color or colour, favorite or favourite, or even if more than 2 words, some people can say: Empty, Blank, also another typo, programmer, programer, or another short form, FYI or For your Info, for your information, information or info only.

    It is just FYI.

    You cannot grant yourself rights you do not already have. You need to figure out who currently has the system administrator role (someone must have). You can do this using Advanced Find on Users, linked to the Security Roles entity.
