can't add new cloning process

Posted on by Microsoft Employee

Hello, I wish to enable our users to clone a record from one entity to another.  Every time I attempt to add steps there is an "X" next to each one; and every time I attempt to activate the process I get an error.  The error message is vague and I don't know what is wrong.

My goal would be for the user to select an entity, call the process, tweak the existing description of the entity, then click "save", where the new entity would be created.  Here is what I have been trying to do so far:

1. create the process, give it a name.  (For the sake of being somewhat anonymous, let's say the title is "clone entity 1 to entity 2.")
2. Click "As an on-demand process."
3. Add step.  I choose "Add step" and make sure that "page" is selected.
4. Change the description.  (Again, let's say the title is "clone entity 1 to entity 2.")
5. Select the blue row beneath the description I added.  Then click the "Add step" drop down.  Choose "Prompt and response."
6. Change the description.  (I use "Enter text".)
7. Click the button captioned "Set properties."
8. A new window appears.  I enter the prompt text: "Enter text."
9. For Response type: "single line".

Now, ideally I would be able to default the text control with the text that appears already for entity 1.  This would enable the user to make some minor changes before saving the new record in entity 2.  However, since I can't get anything to work, I will just skip that part for now.

10. Click "save and close."
11. I have returned back to the first screen where I was creating the process.  There is an "X" next to my "Enter text" step.  Even more curious is that if I click on the button with "set properties" as the caption, the window opens up again--and none of my changes are there.  I would have to recreate steps 8 and 9 above.
12. Click "Add step."  Choose "Create record."  Change the description.  ("Clone entity 1 to entity 2.")
13. I click on "set properties."  Change the top-most description "Clone entity 1 to entity 2."

At this point I have a process with two steps, both of which have an icon with an "X" next to them.  If I click "save and close" and return to the process, I still see my two steps as well as the "X" icons.

If I click on "Activate" a window appears.  I click "ok."  Then I get this helpful message: "Errors in process definition.  The process contains errors and cannot be activated. Open the process, correct any errors and try again."

Well, I have tried repeatedly to figure out what the errors are but I can't figure out what is the problem.  Does anyone have any ideas?  Any help is appreciated.

    Hi Scott,

Good luck with your current solution. You don't need to let me know though, it's free so you can just download it from that link.

    Thanks,

     Aiden

Aiden, thanks for the quick reply.  I'm not sure whether my supervisor will want to use Cobalt or not.  If we do, then I will let you know.  Thanks again.

    Hi Scott,

You might want to look at CRM Snapshot at http://www.cobalt.net/dynamics-crm-snapshot . You can do a configurable clone through a workflow so you can clone a record (and exclude some fields), and also clone some related records. It's free too so it wouldn't hurt to check it out.

    Thanks,

      Aiden
