Announcements
Good Afternoon,
How do I close the account periods to block any postings from going in them i.e. sales, purchases and journals. We do not handle an stock, so that isn't a worry.
When I go to the "accounting Periods" section, the boxes to tick "Closed" are greyed out and un-editable.
best regards
David
David,
Adding to other replies... This is a 2-step process:
1. First you should Close the Accounting Period for the year you will be creating the Close Income Statement for. Also, CREATE the new Accounting Period for the new Year. For example, close 2020 and create 2021.
2. Not sure if you control User Posting Access from General Ledger Setup or User Setup but both will work. In General Ledger setup the Allow Posting From and To define GLOBALLY (All Users) which period they can post into. If you want to control User directly, in other words, say Accounting folks can post into the month they are closing and future month, use the User Setup. Here you enter the Allow Posting From and To by User. This overrides the General Ledger Setup setting, if a User Setup has the field populated.
Hope this helps.
Thanks,
Steve
You have to do it manually.
Is it possible to set the posting dates to just be 'Current Month'? It would be nice to automate this to automatically stop employees from posting to a previous month.
Hi Agazziz, Yes you just need to set dates in General Ledger Setup.
If you want to set specific posting dates on any user then you will use user setup.
I hope it answer your question.
So if we leave the Posting Dates on User Setup blank, it should default to the General Ledger Setup posting dates? I've always wondered why the G/L Setup Dates weren't being enforced, guess I didn't realize that the User Setup was over-riding it.
Yes David it is right system will not allow you to post the transaction outside of the set date.
Have a nice day
Hello David,
That's right. If you set a range date at General Ledger Setup it only allows to post entries for that range of dates.
Thanks so in General Ledger setup, I select to allow postings from: 01/11/20 to: 30/11/20. The converse means that nothing can be posted outside of these dates.
Hi Agazziz,
You can do it from General Ledger Setup if you want to open the same periods for all users. But if you want to stop specific users from posting on specific periods then you have to use user setup.
You would think that the "Allow Posting From" and "Allow Posting To" dates on the General Ledger Setup would restrict posting, but it doesn't (at least for us, it doesn't).
The only effective way that I have found to restrict posting is to search for User Setup and adjust the posting dates there by user:
