Project Timecards in portal

Posted on by 1,000

Hey all

We have an issue with a client using portal for timecard entry. They assign employees as resources to projects, and enforce that only people assigned to projects can charge to the task.

We have one project that on the surface looks fine. Same setup as other projects, everything is active that should be active on the project and tasks, I've checked the SQL setup as well as the front end screens and there were no differences between this project and the one I used to compare. The employee is assigned to the task, with a start date before the timecard date, and no ending date. But when she tries to enter time to the assigned tasks - we have issues. It will let her pick the project,  and it displays only the tasks that the employee is assigned to for the project. So it's recognizing the assignment. But when she tries to choose the task, she gets a "Message from Webpage - the task cannot be found". This goes for all the tasks the employee is assigned to for that project.

If I switch off the Resource Assignment Required flag for the project andhave her  try again, she can now see all the tasks for the project, but can't enter time to any of them.

I assigned the portal admins to the project and task in te core program and tried to enter a timesheet for them, and get the same error.

When we enter the timecard in core Dynamics, we can access that project and task with no issues, complete and post a timecard.

Any ideas on what might be the issue here? I've racked my brains and I'm out of options.

Thanks, Allison.

None of the working tasks have an end date. We tried adding one and it didn't make any difference.

There's no employee in the pjpentex table, but running that query does yield a result for that project and task.

    Dear Allison,

You mentioned that the task has no end date, this is no different from working tasks as well?

Now try the same statement on the pjpentex record:

Select * from pjpentex where pjt_entity = 'XXXXX' and project = 'XXXXXXXX' and employee = 'XXXXXX'

    Hi Jana

Yes, there's a record for that employee, and also for my two portal admins who are having the same issue.

    Hello Allision,

Can you check her PJPENTEM record. This links the resource to the task.

Select * from pjpentem where pjt_entity = 'XXXXX' and project = 'XXXXXXXX' and employee = 'XXXXXX'

Fill in the X's with the task, project and employee-id.

    Is there a record?

    Hey Carolyn

There are 258 records in both tables for that project. The project number is 06601 - no special characters, and a number of the other projects start with 0.

    Hi Allison,

Maybe the project is missing a PJPentEx record.  Run the following two statements for the project and you should get the same number of rows returned.

    select pjt_entity, * from pjpent where project = 'ABC123'

    select pjt_entity, * from pjpentex where PROJECT = 'ABC123'

If those records look okay, what is the project ID.  Does it have special characters in it?

Let me know what you find.
