What is the purpose of document no in Job Journals

We are recording time in time sheets with reference to jobs and after the time sheets are approved, we pull the hours into Job Journals to post the hours to the jobs.

In the Job Journals a document no. is required input on each job journal line, but what is the purpose of this document no.?

We always just enter 1 as document no. and then the program is happy to do the posting, but it would be very nice if we could just hide the field from the screen.

Hi

This is the unique number you want to give this transaction in a journal. This way you can see which transactions posted for that document No. Or if you want to use it for trace purpose (such as extra info that can be trace somewhere) you can use it as well. This way after posting the journal when you go to journals you can use that number to see which transactions posted under one document no, or trace them, etc. This is the reason that document no except any value because it depends on your need for traceability.

You can make those numbers automated as well. Just open the journal batch and assign No. Series to it and it will auto populate. Then if you turn off manual entry in No series you cannot enter any number.

Thanks MahGah, this was the solution to my problem.

We don't need to trace anything based on this document no, so we will assign a number range for auto population of the field and then hide the field from the Job Journal screen.

What is the purpose of document no in Job Journals

On a slighly different note, does anyone know why the Renumber Document Number action is not available on the job journal or how to make it availble here like in the General Journal
