Mailing an Outlook Group from CRM

I have an Outlook Group email. Let's say it's called MyGroupEmail.

Within that MyGroupEmail are several Outlook users of course.

In CRM I have a Workflow of type Process which to send an email.

I want it to be sent to MyGroupEmail

What do I put in the "To" (recipient) field here?

Is it simply the email address of MyGroupEmail as obtained from Active Directory?

Do I have to add MyGroupEmail as a User in Dynamics (if so how).

    Just add the distribution list email address in the to field. Crm does not care whether email address is distribution list address or individual emailbox address.

    If your system settings set to dont allow sending email to unresolved emaill address it may throw an error . So make sure in that case you have contact record with this emaill in system or you can change system settings to allow to send email to unresolved addresses.

    The only disadvantages with this approach that you have to be aware of is that because the DL hides who the recipients are then CRM cannot show the email against the corresponding user/contact records in CRM - nor can it share with those users included to ensure that they have access in CRM.  Only email to DL's if you are confident that you don't want to use any of CRMs features around activity parties.

    You could also use a Marketing list and distribute an email to all members.

    Thanks both of you. I would prefer to add just the email address of the distribution list to the field.

     

    Regarding "If your system settings set to dont allow sending email to unresolved emaill address it may throw an error " can you point me to exactly where this setting is visible please and how I get there.

    And Scott I note your comments about Activities. This Process would run against a Case (Incident). I take it you mean that if I used the email address of the distribution list no entries would then appear in either the Activities or Closed Activities in the left-hand navigation of such a Case? Whereas they would if I used the individual email addresses of the users comprising the Outlook Distribution List?

    Yes - that is exactly what I mean!

    The setting to allow unresolved recipients is in System Settings - but you could even create a Contact with the distribution list email address - this would then track any emails sent to that DL to that contact.

    Thanks Scott. So if I create such a Contact the Activities would then appear in the left hand navigation of the Case? (sorry to be so specific but CRM is a large learning process!)

    Yes - that's right because CRM would resolve the DL email address to the contact (presuming that the DL email address is added to the Contact).
