How to move demo data to another entity

Hello

We just started to use CRM in the cloud and we want to keep the demo data but not in the primary business entity, we want to create a demo entity and pass all the demo data to that entity and leave the main entity for our internal use.

Is this posible?

    Yes and No. It is possible to create Advanced Find views for each of the entities that has data you want to move to  the other system and then export them  to CSV and use the import tool to bring them into the other system. But that process has significant limitations.

    You will need a third party tool to accomplish what you need most likely.

    HI Miguel,

    Consider having another CRM Online organization that is a sandbox.  If that is not an option, I would do the following steps:

    1. Create a Two Options field on the Account and Contact records called Demo: Yes/No.  

    2. Mass-edit the records and mark the demo records as Demo = Yes.  

    3. Create new system views under Contact and Account called Demo Data where the Search Criteria is Demo = Yes

    4. Modify the existing system views Search Criteria to not include demo data.

    One caveat to this sugguestion is that the searching operates slightly different between the Outlook client and when accessing CRM from the browser.  If you are using Outlook to view your CRM data, the data will not come up in searches of Active Accounts.  However if you are using the web client, the demo data will still come up in searches.  Alternatively, you could use security to hide the demo data from all users, but that does not make it easily accessible when it is needed for training, for example.

    Creating Demo Account and Demo Contact data entities is possible, and you could map the data to the new entities using workflow, but it would be very laborious to do so.
