Set workflow against a child business unit/division

Posted on by Microsoft Employee

Hi

Can anyone advise how to set a workflow against a child business unit/division?

We currently have two child business units and the workflow I have created only applies to one of the child units but I don't know how to allocate it.

Thanks

Helen.

    Hi Hellen,

As told by Rafael Batista, you can set the scope of the workflow to Organization.

There are four options provided to define your scope:

    1. User
    2. Business Unit
    3. Parent: Child Business Units
    4. Organization

    Refer the screenshot below.

By selecting User as the scope, only the records owned by the current user are affected by the process even if the user has organizational-level access rights.  By selecting Business Unit as the scope, the workflow will only execute for the user’s Business unit.  Selecting Parent: Child Business Units as the scope will execute on records in the user’s business unit and records with ownership in a child business unit of the user’s business unit.  Finally, by selecting Organization as the scope, the workflow will execute on any record in the organisation secondary to the user’s security rights.

    Hi Helen,

it depends actually; I ll try to explain it to you with an example:

Root/Parent Business Unit: RBU has x management users

Child Business Unit 1: CBU1 has y no. of users

Child Business Unit 2: CBU2 has z no. of users

Now, the workflow you have created, you want it to apply to all users x+y+z users. in this case you will set the scope of workflow to 'organization'

Or else if you want this workflow to apply to only y+z users, you will set the scope of workflow to 'organization' + you have to have a filter in your workflow condition (first filter) i.e. owning business unit equals CBU1 or CBU2

or else if you want this workflow to apply to only y users, you will set the scope of workflow to 'organization' + you have to have a filter in your workflow condition (first filter) i.e. owning business unit equals CBU1

    Hello Helen,

I think you have to select the scope of the Workflow to "Organization" instead of "User" or "Business Unit".

    Hope it helps.
