GP 6 Login Error

Posted on by 1,780

Hi!

The user is getting a login error, they are using GP 6:

"Access to this company is denied, because its database has exceeded 10 GB size limit. Do you want to select another Company?"

When I check the knowledgebase, I found that it is a limitation of Dynamics Database only in GP 6 and they suggested either to upgrade to latest version or clear the History. There is no option to clear the History by year, also there are several options available, I am not sure which one to use to clear for each year data. The other confusing thing is knowledge article suggest to clear the History, whereas clearing history may reduce Company database and I don't know how to remove specific to Dynamics database information.

Any idea on how to resolve this?

Thanks for your help.

Regards,

Mohan

    Hi Mohan,

You'll never know what code is behind the validation on db limit.  Technically, this is worth a try.

    Cheers,

    Dencio

    Hi Dencio,

Nice to hear from you again. Do you mean to say the message is like information purpose only but not a limitation to continue to use?

    Regards,

    Mohan

    Hi Mohan,

This is worth trying and only a work around (I maybe wrong).  Try to get your client databases beyond 10GB (11GB above) and try it again.  You maybe surprise!

    Cheers,

    Dencio

    Hi Dencio,

The article that you mentioned is talking about an error duing the upgrade from 5.5 to 6 whereas the error that my user is getting while they try to login itself. Here is the article that you've mentioned KB 869605:

I have a database that is 9GB and I am running Dynamics for MSSQL. During the update from 5.51 to 6.0, will there be a problem if the database goes over the 10GB limit?

    ANSWER:

This will not cause a problem for the upgrade process. The database limit is only checked upon the Dynamics login. A Dynamics for MSSQL database over the 10GB will prevent one from successfully logging into the company.

    Hi Mariano,

Just one last question, is there any knowledgebase article or any document from Microsoft stating this limitation?

    Thanks for your help.

    Regards,

    Mohan

If you are going to go down that route, you may want to suggest Professional Advantage's Company Data Archive to your client. I am not quite sure if this product was made available to the market on or after v7, but you may be lucky enough if you call them. However, I still believe Professional Advantage may be in a better position to assist you with a task like this as they have done the leg work already.

I believe the database size limitation is a self-imposed limitation as I think it had to do with the flavor of Dynamics (Standard vs eEnterprise), not with SQL.

    Hi Mariano,

Thanks for providing your valuable inputs on this issue. Sorry the version they are on GP 7.

They have tried shrink database which reduced to about 8+GB which I think lost for another 1 or 2 months.

After going through all options, I got an idea to create a new company and then copy all modules setup, all masters, and migrate only opening balances. Do you think this ideas work better, since they are not keen on removing history and upgrading to latest version.

I found that they are using HMS ver 7.7.e, I am only concern on this how to bring the setup and master as I am not familiar with table structures. They don't use all features, but they use only BOM, work orders, allocations and then post those production entries.

Just to reconfirm on the database size, is the limitation coming from SQL side or GP side.

Thanks once again for your valuable advice.

    Regards,

    Mohan

Re: Re: Re: GP 6 Login Error

The limitation is with the database size. If you add more filegroups that's not going to solve the problem. Your choices are:

    1. Run a historical transaction removal -- your client does not want to entertain this idea, so this is off limits

    2. Upgrade to the latest version - your client does not want to pay for an upgrade, so this is off limits

    3. Live with the limitation - your client will not be able to save more data, so this is off limits

    4. Attempt to run a Shrink Database - if you lucky, there may be some physical space to be reclaimed, but this will only get your client by for sometime.

As you can tell, there aren't any choices with a happy ending for your client. By the way, GP6 is no longer supported so...
