Microsoft Dynamics CRM (Archived)

user admin for passwords

Posted on by Microsoft Employee

Hi,

My company has been working with a business to implement a new CRM. We have been told that account management (creating new passwords, resetting passwords, adding and deleting accounts, etc.) must be done by them and will incur an hourly charge.

Management of the CRM is not my job, but I am familiar with other online tools. I am concerned that this company is giving us bad information.  Surely this can't be accurate! ?

Comments? Thoughts?

Thank you.

Terry

    Hi tross_17,

If the URL of your CRM system is similar to https://<CRM Instance Name>.crm<Region Number>.dynamics.com, the you are using Dynamics CRM Online.

"CRM Instance Name" could be something like myorg-prod, myorg-dev if you have setup different systems for PROD and DEV purposes.

While you are logged in to CRM, if you open another browser tab and navigate to https://portal.office.com, you'll be logged in to your Office 365 Portal.  If you can ask your vendor to provide you "Global Administrator" access, you should be able to login to the Admin Portal (https://portal.office.com/adminportal/home) where you can manage users your self.

Think of a "tenant" like a single apartment your have rented in multi storey apartment complex where the apartment complex is owned by Microsoft.  Inside your apartment, you have multiple rooms for different purposes (CRM, Exchange, SharePoint etc).  In each room (let's say CRM room), you have multiple cupboards which includes a CRM instance in each.

    Cheers,

    Nadeeja

    Hi,

It really depends on how your environment looks like. If you bought CRM Online directly for Microsoft and you have your own Office365 Admin - I don't see a reason why a company that handles your CRM should manage users for you.

Thanks very much. I am unfamiliar with some of the terminology you are using (tenant, and instance) but I'll sniff around see what I can find about those. My goal here is to provide the person in charge with the right language so they can ask/suggest their contact there.

    Thanks again.

It's possible, if you're operating under their Dynamics/Office 365 organization and not your own.  Then they would have to use their Office admin to handle exactly that.

But I would question why they wouldn't just set you up with your own tenant.  I would strongly recommend you own your Dynamics/Office 365 instance instead of them, unless they have a very specific reason for you not to.

(example reason, I have run in to that actually made sense, USGA had individual CRM instances for their regional golf associations, but wanted them run and maintained centrally so they would all have the same data structure)
