Sharepoint and CRM integration

Hi Team,

Both CRM and SharePoint have online version.

From CRM end,  If I add a another sharepoint record directly and then deactivate newly added record, What will happen to SharePoint folder and files structure.?

 Will it delete files and folders from SharePoint due to sharepoint site record is deactivated in CRM)

    When Dynamics 365 CE and SharePoint Online are integrated, each active SharePoint Site record in CRM serves as a container for document locations tied to entities (like Accounts, Contacts, etc.). Your scenario, manually adding a SharePoint site record and later deactivating it, raises an important question about the downstream impact on SharePoint folders and files.

    Native Behavior

    • Deactivating a SharePoint site in CRM does not delete any folders or files in SharePoint.
    • Existing folders and documents remain intact, but CRM will no longer use that site for future document storage.
    • Previously created document locations tied to that site may become unusable for uploads, but are still visible in SharePoint.

    Limitations

    • CRM does not perform automatic cleanup or revoke access in SharePoint based on deactivation.
    • Manual action is required if you want to restrict access or remove folders from SharePoint.

    Native Best Practice

    • Before deactivating, review and migrate necessary documents.
    • Manually delete or archive SharePoint content if it’s no longer needed.

    Scalable Alternative

    For environments with multiple sites or where document access must reflect CRM security roles:
    • SharePoint Security Sync by Inogic automatically syncs CRM privileges to SharePoint.
    • Maintains folder-level security, even if the site record in CRM is deactivated.
    • Helps with structured folder creation, permission audits, and cleanup tasks that native CRM doesn’t handle.
    In short, deactivation doesn’t delete anything in SharePoint. But if you want tighter control over access and lifecycle, tools like SharePoint Security Sync fill the native gaps.

    Thanks but check documents after some time. I have observed that after some time documents got disappeared but not sure due to what action as i have not done anything apart from adding and deactivating site.

    I really appreciate your efforts and i mean it. Thoudand thanks to you..

    I've tried to deactivate Temp Site and after that documents are still there

    Hi Andrey,

    I was having default site and then I added new site as 'Temp' pointing to different site.

    Then I thought let's use some test url rather than the real one. So I deactivate Temp sharepoint site from CRM.

    What will happen as impact of this?

    Hi,

    If you mean SharePoint document location, it will not delete folder is you disable it.
