App for Outlook - Set Regarding - remove unwanted entities

Hello,

Dynamics 365 App for Outlook is installed and working, however, performance, when set regarding, is very poor.  We believe this is because of the App searching ALL entities in our configuration, of which, we only require 7 or 8 to be searchable in the Outlook APP

1 - We have updated the 'Configure Relevance Search' to only show the required entities

2 - We have updated some of the entities as a test to remove the enabled 'Reading pane in Dynamics 365 for Outlook'

At present this has made no difference.

Does anybody know how to control the entities 'set regarding' searches?

    Niraj: We are looking for option to make certain entities available in AFO "set regarding" lookup rather than all the entities available/enabled for Activities/Mobile.

    The moment we enable like explained in this tip: crmtipoftheday.com/.../make-an-entity-regarding-available-from-outlook-app and those entities have artifacts added in App designer, Entities showing in AFO "set regarding" lookup.

    What we want is since "Activities" option cannot be rolled back & individual activity type cannot be security role micro-managed, also we want those entities Artifacts for other stuffs in AFO, but only to turn-off few entities in "set regarding" lookup. Exactly what "setEntityTypes" does in form context.

    If you are in CRM 9.0 than you can filter entities which show in set regarding through "App Designer". Its documented :

    Perfect that worked. ! - Thanks Simon  (only needed tweak and then publish App Designer stage by adding custom entities)

    So for all to benefit - you need to be on at least 9.0.2.1083

    1 - Configure your relevance search in default solution

    2 - Add custom entities and/or add required standard entities, save and publish top right of screen

    3 - Re launch Outlook

    Hi Tim

    If you are in the App Editor, open the Site Map Designer (by clicking on SiteMap in the App Editor).  Make any changes required by adding entities, areas and groups, then Save.  You will see in the top right corner that it now says *Draft.  Click Publish to make it live.  Now Save and Close the Site Map Designer to return to the App Designer.

    In the App Designer, in the top right corner, make sure to Save, then Publish the App.  You can then Save and Close the App Designer.

    The next time you open the App for Outlook, it will use the new configuration.

    We are on 9.0.2.1083 for both front and backend (the update applied yesterday in the Aus (crm6) region).

    I have edited the App for Outlook App and added a custom entity, and it successfully appears as an entity to track against.  You have to make sure to publish the sitemap as well as the application in the App Editor.

    Update from MS support today:

     

    This is to update you, that the fix was not applied to the current build. We are expecting to be fixed in 9.0.2.1450. We still don’t have an exact ETA however we have pushed for fixed and it is expected to get by end of this month.

    Hi Simon,

    Thanks for response.  I've checked the App for Outlook config and all appears to be OK.  If you can try a custom entity and let me know how you got on that would be awesome.

    Hi Tim,

    The Outlook App uses the “App for Outlook” app available to be edited in Customizations.  Scroll down to the bottom and look under Apps.  We added Cases in there today and it appeared the next time we went into the Outlook App.  I’ll try a custom entity in the morning when I’m back at my computer to make sure that works as well.
