I have been trying to set up forward mailbox configuration in our test environment (2013 SP1 UR3) without luck. I need a sanity check - is this configuration not possible?
Intention and goals:
- Set up mailbox forwarding to a single mailbox from 15 unattended email addresses. In test system I have 3 addresses to test with.
- Each email address is configured in an approved CRM queue and corresponding mailbox.
- When an email arrives it is forwarded to the single sink mailbox and tracked in CRM
- If tracked successfully, email router can delete from inbox
- If it cannot be tracked, it should be moved to folder "Undeliverable"
Details in configuration:
- Incoming Exchange 2010 profile is set up with email, URL and username+password.
- CRM deployment is set up with URL and specific credentials
- A forward mailbox is created for the email and mentioned profile with "delete" checked
- Changes are published
Tests:
(new address never seen before)
T01) Send an email from a never before seen email address to the test address with recipient in TO field
T02) Send an email from a never before seen email address to the test address with recipient in CC field
T03) Send an email from a never before seen email address to the test address with recipient in BCC field
(address seen before)
T04) Send an email from a known email address to the test address with recipient in TO field
T05) Send an email from a known email address to the test address with recipient in CC field
T06) Send an email from a known email address to the test address with recipient in BCC field
What I am seeing:
1) For tests T03 and T06, BCC-emails fail immediately and are deleted (not moved to Undeliverable folder) with warning W01 (see below). This is what bothers me the most, delete untracked emails should not happen automatically :(.
2) If the e-mail message are from a known senders, the e-mails are tracked successfully (T04 and T05)
3) If the e-mail messages are from unknown senders, the tracking fails with warning message E01 below for test case T02
4) For unknown senders, only test case T01 is tracked successfully.
Errors and warnings:
W01)
#35241 - The recipients for the email message with subject "Test 3:bcc at 2015-12-14T14:10:41" in mailbox test_crm_forward@mydomain.com did not match any known records.
#30906 - Deleting the email message with subject "Test 3:bcc at 2015-12-14T14:10:41" in mailbox test_crm_forward@mydomain.com after processing.
E02)
#9628 - An error occurred while delivering the email message with subject "Test 2:cc at 2015-12-14T14:13:22" in mailbox test_crm_forward@mydomain.com for delivery to https://testserver/TestOrg. System.ServiceModel.FaultException`1[Microsoft.Xrm.Sdk.OrganizationServiceFault]: An unexpected error occurred. (Fault Detail is equal to Microsoft.Xrm.Sdk.OrganizationServiceFault).
Sanity check:
* Why are e-mails that fail processing automatically deleted (W01), or is my thinking wrong? All BCC-emails fail processing and are deleted automatically. The default should be to move them to the "Undeliverable" folder so that we can manually process them, not delete. Is it possible to change this?
* Why is it that changing the email router configuration file does not "stick"? The changes are overwritten because of the ConfigUpdatePeriod interval. If this is set to 0 (like I have seen many places), it is not overwritten, however, then the email router does not understand a single one of the email addresses it reads from the received forwarding mails, claiming it is not an approved forwarding mailbox address.
* Error E02 is now confirmed from MSFT support to be a bug that affects all CRM on-premise installations post "Leo". Including CRM 2015 with latest updates. The issue was reported in July, but investigation is pending developer investigation (has passed first and second lines).
