CRM 2016 Word Template - Table with Repeating values

(0) ShareShare

Posted on by

Hi , I have created a Word Template for a quote and quote products.

I have trying to find a way to change the sorting on my table.

In CRM there is a line item number field and a Sequence number field.

I have tried changing both manually and reprinting my quote but the products are still in the same order.

Any ideas?

I am confident there isn't an option to filter the data which gets sent to a Word template. And as far as I know there also isn't an option to sort the data.

I have seen some third party products that claim to offer this ability. But I haven't actually used this! So I'm not best placed to comment on its quality. But might be worth testing out.

Can you probably send some screenshots of this to explain the issue further?

Hi Here is a screenshot of the merged document.

It is based on Quote and shows quote products  in a table.

Sometimes customers might want to filter certain products so I might want to show products from family A in 1 table and Family B in another. Also they may want to be able to configure sorting. As Neil said (in a previous post) I dont think this is currently possible with the CRM 2016 Word Templates. Which is a real shame becasue I was getting quite excited about being able to produce quotes in WOrd rather than SSRS.

    Workaround for sequencing:

Add the sequence numbers as the first column of the table.

Use "#" as the column heading so you can make this really narrow.

Make sure your table header row is formatted differently from rest of table (eg bold or italic as a minimum)

Remove borders from all except right side of this column.

    Format text to white.

This column is now basically invisible. You can indent the whole table by a negative amount equal to the first column width as well if you want the left hand edge to line up with the margin cleanly.

Now when your users get the document, they can click in the table and go to Table Tools | Layout Ribbon, and click Sort. This will default to sorting by the first column, and detect that the table has a header row (because of the formatting). So all they have to do then is click OK. Now you can save, print, email etc the document.

Tip: you can add that Sort button to the Quick Access Toolbar in Word to make it even easier.

    Hi Iain Wicks,

I have followed your steps. But i can see only one product in tabular column as i have 3 products in CRM system.

Can you help me with how to get all products against one quote?

    Thanks in Advance.

I had the same problem. I solved it in the Word environment. Bit clunky but I made a couple of keyboard enabled macros.

    Highlight a table then:

Macro one sorts ascending by first column

Macro two sorts descending by first column

Macro three sorts ascending by first column...

You get the picture. Then with a few shortcuts I can sort by column 1 ascending, column 3 descending then column 2 ascending. (then make a parent macro if you fell that does all of these for you!!)

Makes sure to save the macro in Word and not the document.
