Causes of CRM Emails Being Blocked by Spam Filters?

Anyone have a good list of things to look for when trying to determine why our Customers' Spam Filters are blocking our emails created in CRM but not Outlook?  Even with our domain white-listed, we're still having this problem.  The number of recipients in the BCC field on the CRM Email doesn't make a difference, nor do any logos or pictures embedded in the CRM Emails - they still get blocked.

We've identified possible culprits as HTML formatting or having the token in the subject line.  Reverse DNS maybe?  Any ideas would be very much appreciated.

    Hi Ryan,

    Are you using CRM 3.0 or 4.0 for emails?  If using 4.0, are you using the email router or outlook to send emails?

    Another thing to check would be to ensure that you have valid SPF records created for your domain in DNS (you can use this tool to create, http://www.microsoft.com/mscorp/safety/content/technologies/senderid/wizard/)  Make sure the machine actually sending the emails is listed in this.

    HTML formatted messages do increase the score on some systems used to determine spam, but this by itself usually isn't enough to get you flagged as spam if the rest of the message doesn't appear like spam.  There are also some services (some with free trials) that you can test a message against to see how likely it is to be picked up as spam.

    Hi Wes - We are using CRM 3.0 currently and upgrading to 4.0 sometime next summer.  Thank you for the info on the SPF issue - we do not have that in place right now and are checking into it.  I tested our two main types of emails and one came back clean, the other was blocked by the service's own spam filter (ironic it seems).  We are also looking into outsourcing our email server for CRM so that our company's domain does not get black-listed.

    You're Welcome,

    The reason I asked about 3.0 vs 4.0 is that with 4.0 you can setup crm to use outlook to send emails when the users are connected.  We have found this to reduce the number of false positivies on spam as well, at least from email being sent from our desktop users.

    Hi Wes,

    Sorry to bring back this (old) conversation but I have a question on the point you made. We are using CRM4, hosted and with the Outlook client installed . I am not able to send emails to any contact/accounts.

    An error message appears saying that the email address is set up as a "Do Not Contact" (which it isn't). I have tried a different approach and try to set up workflows with emails. The workflow manager shows the task as successful but no email is received. Any idea as to what could be wrong?
