Edit user's Department

Posted on by 10

Hi

In Admin Centre, Users, I have a list of all users and one of the columns aside from Groups, Roles, Managers, Country etc options that I see when I click the user's name, and one of the columns is also Department - however when I've clicked the user's name, I can't see Department listed there.

I want to change the department names assigned to various users but can't seem to find how to get to be able to do this either through admin centre, or by going into the SharePoint admin centre.

Can anyone kindly advise the steps and where I need to go?

I also have what may be a daft question but bear with me. I've done some work on this Dynamics sandbox environment which I'm going to be using to enable me to replicate scenarios that I can use for MS365 training and tips. I know this very specific licence continues beyond the stated end date so long as you remain active in this environment. However, what satisfies that requirement? Just simply logging in once a month? Creating some amazing app? What?! I'm so worried about this as I would hate to lose what (little!!) I have done so far and have to go through setting it all up again from scratch! Can anyone advise? :-)

    RE: Edit user's Department

Thanks once again Teresa, am taking note of all of the above and will ensure to do the right activities to keep things ticking over.

I managed to get to the right place to change all user passwords - and surprisingly it did it for ALL the users! In Azure Active Directory Admin Centre. I changed one and made it so the password couldn't be requested to be changed and changed it to what I wanted it to be. I had to switch back to the Legacy users list experience and then I could amend also Department (which was one of the things I couldn't do previously).  Lo and behold it changed it for everyone, so, result.

    Thanks so much.

    Nebulous8

I am glad that your mind is at ease.

Ok, let's see if I can keep up with responding to some of our questions.

    ACTIVE LICENSE

Use the E3 Developer Tool for learning new features for any Microsoft 365 applications. For example, MS FindTime was recently replaced with Scheduling Poll in Outlook. I prepared a video on the new feature's best practices, key components, limitations and demo. You can watch the video and complete the steps in the Sandbox. Now, you are not impacting your Business Standard application.  (By the way, I have a business standard licensing as well.)

I am a trainer/mentor my nature. So, I encourage you to try out 1 to 2 MS end user and admin center features each month in the sandbox. MS roll out new STUFF regularly. I call them the "Speedy Cloud."  This should keep your account active.

Here is another thought.  I am not sure how many employees you have but you can assign Nestor Wilkes (one of MS given users) to one of your employees. This way your staff can explore with new features too.

    LIMITS

I "believe" I was messing around with PowerApps's sample data when I ran into limits.  I had to delete apps that I created in order to create new ones. For me, I was okay with it.

    Loggin in:

Just so you know, I did not create passwords for all 20+ given users. Uh that's too much work for unused users.  Right now, I mostly use Adele, Nestor, & Alex for Office 365 & MS Teams training materials. I am going to focus on creating content on MS Bookings this year. Then I will designate 3 other users just for Bookings. BUT they will have same password.

By the way, I did not type on the cell phone this time. lol.

Again, thank you for reaching out to me. It has been a pleasure addressing your questions. You have a fun "blue" personality. Please mark the appropriate responses as the "best response" or like it which will assist others with the same question.

Now, go and Explore, Experiment, and Execute Effectively.

    /Teresa

    Thanks so much for responding!

Please forgive me for any typos in advance. I am preparing this response on my cell phone.image

First, let me say for the record, sounds like you are doing well with your project for a non-techny. So enjoy your digital growth. Thank you lol! :-)

Second, I haven't explored with Dynamics 365 recently, but I think my responses will be helpful and hope to put your mind at ease.

    Q1: UPDATE DEPT IN D365

Please clarify that you created a Dyn365 app in the E3 Developer Sandox. Apologies, I don't really know what this means.

When you stated, you added users or updated users' details, are you using existing users that came with the E3 Developer Sandbox?

BE CAREFUL not to appear as if you are not designing, testing or developing which may caused MS to terminate your E3 developer PLAYGROUND. This is the bit that concerns me - I don't know what constitutes 'designing', 'testing' or 'developing'. I can tell you what I have done and maybe you can advise if it would satisfy the required activities: 1. Set up the sandbox and have the users that came with that 2. Haven't activated the sample data (Teams messages, emails etc) so I still need to do that - not sure if this would count 3. Added more detail to active users such as Job Title, Location etc. 4. Set up various Teams channels.

I will test if I can change the dept in the Admin. Center for my E3 Dev Sandbox tenant. With that being said, the response from the above user, may be absolutely correct about using Power Shell to make changes. I strongly suggest that you forward the article to your company's IT System Administrator. Unfortunately, I am my company's 'IT administrator'! I know slightly more about MS365 Admin Centre than MS Dynamics, but not much more, so I've really not got anyone to go to and I felt Power Shell is something I should avoid. When I was in the corp world, I worked closely with an IT System Admin. In all other organisations I always make a point of connecting with the team who manage the MS365 tenant when I'm joining a new Programme and setting up PMOs requiring SharePoints and Teams sites. I Do Not recommend you exploring with Power Shell if you are not with app and commands.

    Q2. E3 DEVELOPER SANDBOX

Well, I can say you completed a thorough investigation on the service guidelines.Grinning. You are becoming an IT professional slowly but surely. Ha ha! Bit of a research/gather as much info as I can person - I'm a blue personality type, what can I tell you!

Again, if you created the Dyn365 app on the E3 dev Sandbox I really apologise but again, honestly, don't know what that means - I did get the E3 Developer licence and set up the sandbox so hopefully this is what you mean, you should be ok to an extend.  I do remember reaching a limit of custom apps that I could create. I believe the limit was 5. And what happens then - would it just run on forever after that or would you need to delete one of the apps and develop a different one to keep the licence going? I'd be happy once I've gotten going a bit more, to be able to set up a chat bot or something like that but, it would all be v v new to me but I'm always happy to have a crack at things which have lowish chance of ruining things in a major way (unlike me messing with Power Shell!).

I downloaded the sandbox in December 2019 and still active today. But I use it for testing and training purposes almost daily. So I receive a quarterly renewal status by email from MS. For you, I recommend logging in and "do something" to keep your status active. You can design or run a report, add / remove columns, whatever relates to what your we're originally building. This is really helpful - this is what I've been doing - like adding detail for my active users, setting up Teams and so on - this quarter I can apply the sample data and hopefully, those kinds of activities will stick. I'm setting up a reminder every 3 months to go in and do something - although at a certain point it will settle into a more steady state scenario - then, I'd just be recording training and the odd bit of changes maybe to user details or whatever, so I'd still (it sounds like) possibly have to go in and do some other stuff like we mentioned about, as well, to keep meeting the reqs.

Remember MS wants to ensure you are not using the free sandbox to run your company. No, definitely not - I've got MS Business Standard as my company's system of choice, too used to using it, training on MS365 etc to use anything else!

    Logging In:

I log into E3 dev app as Adele Vance (one of the given users) with onmicrosoft.com email. I have only 2 custom users in the Sandbox. I've not tried logging in as someone else.... I need to find and follow the instructions (I've got them somewhere) on how to make everyone have the same password so that's another task I can do to get my "she's using it!!" activity points! So I am little concern of your status since you had to log in using your org's credentials. I suggest sending an email or calling MS for.status clarity. I will see if I can raise a ticket via my MS Business Standard account as not sure otherwise how to obtain help from MS on this other than through that route but will see what I can do.

As before, a massive, super big thank you to you for your incredibly comprehensive reply - apologies if your thumbs are now suffering from RSI having tapped that all out on a phone!! What a trooper.

    RE: Edit user's Department

Hi and thanks so much for the reply.

    1.

I've read through the information about setting up powershell to be able to edit user's department and so on. However, I've got literally no idea how to go about applying it - I've no idea how or where you run these commands in order to apply them. Is it by using Windows PowerShell / Windows PowerShell ISE / Windows PowerShell (x86) / or Windows PowerShell ISE (x86)? I'm not a techy nor a developer so this is entirely foreign to me.

    2.

STATUS OF MY MS365 DEVELOPER SUBSCRIPTION AS REPORTED ON THE MS365 DEVELOPER DASHBOARD:

    Deleted subscription

Then it references the onmicrosoft administrator email address that goes with that subscription

    Renewable E5

    Subscription expires 11 Jul 2022

    0 days left

Your subscription expired on 11 Jul 22

All users were deleted on 9 September

However, what's being reported is confusing because I do have an active subscription and all my users are most definitely still there, non have been deleted. So I believe this is my original attempt to set this sandbox environment up (bear in mind, I'm not a techy and I struggled to set it up initially) and I believe it may be showing me this what looks like outdated information because it wouldn't let me log in to the dashboard with my onmicrosoft MS365 Dynamics administrator email address, I had to use my normal company email address that I originally used to create the Dynamics account.... so the above isn't right - but I can't log in to what probably would be the right account as it tells me I can't use that onmicrosoft email address!

However, setting that aside, MS state: "Starting in April 2019, we offer renewable 90-day subscriptions" and so long as the appropriate activity takes place, it will continue on" (not end after 30 days). You'd referenced to the Dynamics 365 Marketing trial - I don't believe that's one I'm utilising so I don't think those conditions apply.

    ACTIVITY REQUIREMENTS

MS state as to activity: "We may suspend or terminate your optional free Microsoft 365 Developer subscription obtained under this Agreement and delete any Customer Data related to it IF YOU FAIL TO USE YOUR SUBSCRIPTION TO DESIGN, DEVELOP OR TEST APPLICATIONS FOR MICROSOFT 365 OR IF YOU OTHERWISE FAIL TO COMPLY WITH ANY MILESTONES OR OTHER REQUIREMENTS WE MAY COMMUNICATE WITH YOU EG THROUGH THE DEVELOPER SERVICES PORTAL WITHIN ANY DAY PERIOD OF 90 CONSECUTIVE DAYS during the term of this Agreement. We will provide you with notice prior to any suspension or termination of your subscription and Customer Data deletion".

However the above still doesn't make it clear to me, a non techy and not a developer of any kind, what activity I actually need to carry out (or in fact can carry out), that will prevent the subscription from getting shut down - that's the nub of what I need to understand.

    Many thanks indeed.

    Hi Nebulous8,

1.Even though you can click on "choose column" to display more user information, but you can't change it here.

    pastedimage1672024032698v1.png

You need to Configure Microsoft 365 user account properties with PowerShell:

    https://learn.microsoft.com/en-us/microsoft-365/enterprise/configure-user-account-properties-with-microsoft-365-powershell?view=o365-worldwide

2.The trial environment is for 30 days; you can extend it once and only once.

So I'm not sure I understand what you mean.

But if you want to stay active, you need to log in to the environment every 14 days:

    https://learn.microsoft.com/en-us/dynamics365/marketing/trial-faq#what-are-the-trial-limits-and-quotas
