Handling sale of one time item

We sometimes procure and sell items for customers that we know we will not be stocking on a regular basis. What is the best way to handle these items without adding as a regular inventory item?

    Hi Matt,

    I am not aware of any add-on that would do this, partly because I think that the Inventory module in GP meets most of the requirements you listed.   

    I am not sure what you mean by "don't want to spend time on the whole GP item life cycle"....?  That seems to be the main issue, can you please explain this in more detail?  Besides that, the frequent updates to items and prices are something that might not be so easy 'out-of-the-box' in GP, but that can possibly be addressed by a customization.

    Hello Victoria,

    This "one time inventory" subject keeps coming up at our office. Different clients ask for it in different ways. I'm curious if there are any addon's that help with your #2 option?

     The requirements:
    -don't want to spend time on the whole GP item life cycle
    -have a large list of items that are changing quite frequently of which few are used but they are all needed just in case
    -the list will need to be updated frequently

    -users would like a list of items to pick from that would fill item#, description, cost, price, and sales/cost coa's.( having a comment line to go with the non inventory item master would be great.)
    -The costing cost must be typed-in and not calculated. (selling large equipment)
    -Once the one time item is sold it will no longer appear in the item list. (selling large equipment)
    -they don't want to use the GP item list because of the life cycle management required.
    -user want to easily update the hypothetical non inventory item master from vendor or other price lists.

    To give a sample of companies:
    One company is a distributor of closeout foods, one sells items from a huge list of items (many of which are not used), another company sell once and done used equipment.

    Just curious if there are any addons anyone knows of to do this?
    (or is there a reason no one makes one? ;-)

    Patty,

    There are 2 typical ways to handle this:

    1. Create an inventory item called MISC or ONETIME or something similar and use it for all the one time sales.  This allows you to use all the settings from inventory items and is better if you are linking in a Purchase Order and/or want to track serial numbers.

    2. Use non-inventory items.  This is a lot less setup, but also less functionality, depending on what you're trying to do.
