Budget Control - exceed the actual can create a register for revision budget.

Posted on by Microsoft Employee

Hi All

I have created Budget control and passed a Journal. During validation if the actual is  exceed from budgeted , there will be an error will show the excess value of budgeted.

My customer requirement :

Is it possible to create a revision budget register automatically during posting of journal / order , when my actual is exceed from budgeted value.

I assume you need to keep  track for audit purposes of why you might have made changes.

You have change control option to keep revisions on POs.

You can also approve budgets revisions in Projects.

You can add a document note at any time with details

You can also make changes subject to workflow approval and then use workflow history.

A developer could write to a table but in itself that would not tell you why nor whether the change was approved. By implication whoever made the change had the authority but a register without more details is probably not going to be much help, so some more logic would need to be added.

Consider what inquiry or report you want to get out and that will help determine the data and controls needed. and the right approach.

    Hi,

Doesn't this requirement make the use of the budget control functionality superflous?

If a budget is exceeded then there should be an investigation and analysis first what happened and why the budget amount is not sufficient.

If you directly create a revision budget, I would doubt that you need the budget control feature.

Just switch it off and you do not have to think about creating an auto revision.

    Best regards,

    Ludwig
