Can we modify received emails?

I have an unusual scenario I am trying to fix.  Two new customers sent in two separate emails, creating two new bare-bones Contact records in CRM and two separate Cases.  Our best guess is that one of our Users was editing both Contact records at around the same time and accidentally swapped their contact information.  So Email A which actually came from Contact A says it is from Contact B, and Email B which actually came from Contact B says it is from Contact A.  If that was the end of it, I could just swap their Contact information back and everything would be fine.  However since the swap both contacts have sent in multiple emails that are now linking with the correct Contact record.  If I try to swap the information in the Contact records now, the new emails would then link to the wrong Contact.  So, to fix this what I need to do is edit the From field in the original received emails.  Is this possible?

I've tried this before.  I can't manually edit cases that are not in Draft status and I believe workflows cannot either.  I can create a workflow that changes the status to Draft, edit it, and then change it back to Received.  However, when the email is in Draft status I cannot change the From field to link to a Contact record.  The only option I can think of might be some JavaScript or a plugin to change the From field.  For now I've just deleted the From field so that it is blank.  The emails don't link to the correct contact record, but they don't link to the incorrect record which is the important part.  The emails still show up in the proper Case records so our users can still find them and respond.  It just looks odd that the from field is blank.

    Just for the sake of it I tried to do so because I was wondering if it was possible.

    Overwritten the read-only attributes and switched the from field;

    Got an error saying mail has to be in draft first.

    Updated the email to draft, changed the from field, set the status back in sent.

    Did not encounter any issue?

    So I do not understand your statement saying:

    What is your security role?

     

    PS: I do want to point out that changing the from field in regards of tracked mails sounds like the original header of the mail and the mail itself will no longer be alligned. I have no idea what the possible outcome of that is in regards of the outlook connector and those mails.

    Hi Wouter,

    With the To, CC, and BCC fields I can select a Contact but in the From field I only have entity options of User and Queue.  When creating a workflow to modify the From field, the only Regarding(Case) fields I have access to are User and Queue related lookups.  The Contact field is not an option to put into the From field.

    It does not matter what my security role is.  I'm a System Admin on our Dev server and I still can't do this.

    I directly edit the email-activity as you can see. I don't go via workflows.
    Might want to use Scribe if you have that running.

    Hi Wouter,

    What version of CRM are you using?  I'm on 2015 on-prem.

    I find it strange that you can set the From field to be an Entitlement or Knowledge Article.  When I go to 'Look Up More Records' I only have options for Queue and User.

    What is "Scribe"?

    2016, but not OOB. I was not aware that a change was made on the party list between 2015 and 2016.

    Just went to a 2015 version to verify and indeed, only user/queue!

    Scribe insight is a powerfull migration/integration tool.

    But I connected it to the 2015 version to see if it could do the trick, but I couldn't.

    Just a thought:

    How about untracking the email (it gets deleted from CRM) and just track it again? That should resolve the correct sender as well?

    Unfortunately I don't have access to the original received email.  I only have access to email record within CRM.

    Your suggestion about untracking and tracking again did give me an idea.  I wonder if I can use CRMs data import wizard to update the received email with new information.  I'll have to get the GUID for the Contact I want in the From field, but it might work.

    Never mind.  I just exported the Emails and there's no data in the To or From fields to modify.  I suppose you already tried this method when you said you tried to use Scribe insight.  It was just wishful thinking.  I guess I am stuck with leaving the fields blank until we update to CRM 2016.

    Checked 2011, only user/queue

    Checked 2013, only user/queue

    Checked a different 2016 OOB this time (not sp1) on a different server => user/queue/contact/account/...

    And now the surprise:

    Checked 2016sp1, only user/queue!

    So well, I am lost now :)
